Whiteley, Fareham | £28,000 Equivalent | Temporary to Permanent
Are you an organised Administrator with excellent customer service skills? We are recruiting for 2 Administrators within a busy facilities management team.
This is a fast-paced role where you'll be responsible for handling maintenance requests, coordinating contractors, and ensuring service level agreements are consistently met.
The Role
As an Administrator, you will be the first point of contact for companies reporting maintenance issues. Whether it's a leaking roof, electrical fault, or general repair, you'll use a specialist scheduling system to identify the appropriate contractor, raise the job, and track it through to completion.
This is an excellent opportunity for someone who enjoys problem-solving, multitasking, and delivering outstanding customer service.
Key Responsibilities
- Answer incoming calls within the agreed SLA of 30 seconds.
- Respond to emails within 30 minutes.
- Log maintenance requests accurately on the internal system.
- Raise and allocate jobs to the appropriate contractor or trade.
- Use a sophisticated scheduling system to identify the correct engineer or tradesperson for each task.
- Coordinate reactive maintenance works.
- Liaise with contractors, engineers, clients and stakeholders.
- Monitor the progress of jobs and provide updates where required.
- Maintain accurate records and complete administrative tasks efficiently.
- Deliver a high standard of customer service at all times.
What We're Looking For
Essential Skills & Experience
- Previous administration experience.
- Strong customer service and telephone handling skills.
- Confident using multiple IT systems.
- Excellent communication and organisational skills.
- Ability to work effectively in a fast-paced environment.
- Strong attention to detail and accuracy.
- Ability to prioritise workloads and manage multiple tasks simultaneously.
Desirable Skills & Experience
- Experience within facilities management, maintenance or property services.
- Experience scheduling engineers or tradespeople.
- Previous experience working on local authority or public sector contracts.
- Knowledge of reactive maintenance processes.

- Monday to Friday, 8:00am - 4:30pm.
