Our client, a dynamic and innovative engineering organisation is seeking a proactive and detail-oriented Operations Support Coordinator to play a pivotal role in their operations.
As an Operations Support Coordinator, the individual will be responsible for a variety of crucial tasks, ensuring the smooth running of administrative processes across the organisation.
Key responsibilities include:
Commercial Administration:
- Process incoming order confirmations promptly into job and invoicing records.
- Monitor sales invoices and maintain the invoicing log, ensuring accuracy.
- Administer client and supplier onboarding paperwork efficiently.
- Maintain an up-to-date quotation log, tracking status and prompts for follow-ups.
Operations & Compliance Administration:
- Own and maintain the Training & Competency Matrix, ensuring all certifications are current.
- Administer security clearance and vetting submissions for client projects.
- Support recruitment and onboarding processes, managing logistics and documentation.
Management System & Audit Support:
- Control day-to-day document management and assist with internal audits.
- Coordinate evidence for certification body audits, ensuring compliance readiness.
Bid & PQQ Support:
- Complete client PQQs and supplier appraisals efficiently from the controlled information library.
- Maintain the standard PQQ answer library for quick turnaround times.
Office Operations:
- Conduct general office administration, including meeting arrangements and visitor management.
- Support company events and exhibitions with logistics and paperwork.
Person Requirements:
To excel in this role, candidates should possess:
- Proven operations administration experience in a process-driven environment.
- Strong proficiency in Excel and Microsoft 365; familiarity with Xero and DraughtHub is a plus.
- A meticulous approach to record-keeping and documentation
- Confidence in communicating and chasing information from busy stakeholders.
- Discretion with confidential information, demonstrating GDPR awareness.
