Operations Assistant

West End, London | 4 days per week in the office | Permanent

We are recruiting for a highly professional and established client based in London's West End who is looking for an organised, personable and proactive Operations Assistant to join their team.

This is a fantastic opportunity for someone with previous Reception, Front of House or Office Administration experience who is ready to take the next step in their career and gain broader exposure across office management and operations.

Working within a small, professional and busy team, you'll be at the heart of the office, making sure everything runs smoothly while providing administrative support to senior members of the business.

It's a genuinely varied position where no two days will be the same. Some days will be fast-paced with lots to coordinate, while others will give you the opportunity to focus on projects and administration.

The role will include:

  • Being a key point of contact for the office and helping ensure everything runs smoothly day to day

  • Welcoming visitors and ensuring they receive a professional and friendly experience

  • Managing incoming calls, post, couriers and office supplies

  • Coordinating diaries and scheduling meetings for senior team members

  • Organising internal and external meetings, presentations and calls

  • Preparing meeting rooms and arranging lunches and refreshments

  • Liaising with the building management team regarding facilities and day-to-day office requirements

  • Helping resolve basic IT and office equipment issues

  • Supporting with new starter onboarding and employee offboarding

  • Organising company events, team dinners, drinks and offsite events

  • Supporting with office projects and general administration

  • Assisting the Finance team with invoices, expenses, receipts and payment administration

  • Providing administrative support with routine documentation and KYC processes

  • Supporting the wider Operations team wherever required

  • Getting involved with technology and AI initiatives to help make everyday administrative processes more efficient

About you

This could be an excellent next move if you are currently working as a Receptionist, Front of House Assistant, Office Administrator, Team Assistant or Office Assistant and would like a role where you can develop your skills and take on more responsibility.

You'll ideally have:

  • Previous Reception, Front of House or Office Administration experience

  • Experience working within a professional office environment

  • Excellent communication skills and a confident, professional manner

  • Strong diary management and scheduling skills

  • Great attention to detail

  • The ability to prioritise and juggle several tasks at once

  • A proactive, hands-on approach and willingness to get involved

  • Good IT skills and confidence learning new systems

  • An interest in technology and how AI can improve administrative processes

What makes this opportunity stand out?

This is a brilliant opportunity for someone who has built a strong foundation in Reception or Office Administration but is ready for more.

Rather than being purely reception-based, you'll have the opportunity to broaden your experience across office management, operations, senior-level support, finance administration and events, making it a great stepping stone for someone who wants to develop their career within business support.

You'll be joining a professional West End business where being organised, personable and willing to help is really valued.

The role is based in the West End and requires 4 days per week in the office, so it would particularly suit someone who enjoys being part of the day-to-day buzz of an office and being the person the wider team can rely on.
