Customer Service & Client Manager


Salary: £30,000

The main purpose of this role is to be the first point of contact for all client queries and bookings. The candidate will manage all aspects of the client journey from initial enquiry to training/conference delivery. The main duties and responsibilities are highlighted below (this list is not exhaustive):


Client Relations



  • Handling all inbound Training and Conference queries via phone/email from potential delegates/clients, providing assistance whatever they need

  • Ensure all contact details are kept up to date - including updating contact details when requested to do so

  • Forward requests for Certificates of Attendance to Training & Exams Officer


New Training & Conference Bookings



  • Handling and processing each new booking within 24 hours

  • Check incoming PO documents to see if they relate to a new or existing booking. Add the PO number and resend invoice if an existing booking. Process the PO if a new booking/contact the client for more detail if needed



  • Generating and sending invoices to clients

  • Uploading all bookings to CRM system

  • Sending Enrolment emails to qualification candidates once bookings have been placed

  • Sending 'joining instructions' to delegates for all training courses and conferences and handling all related email queries which follow

  • Working with Training Manager and COO to identify courses which have not met minimum numbers. Where cancellations are required, the website is to be updated and the delegates notified (also inform Training Manager so the relevant trainer can be informed)

  • Maintaining the bookings database on the CRM system

  • Keeping the calendar and diary up to date with new courses and events

  • Updating website when courses become full or when date alterations are required

  • Working with COO to identify courses which need additional promoting through digital marketing campaigns


In-House Training Bookings



  • Handling standardised 'in-house' training bookings (obtaining dates from client and sourcing suitable trainer)

  • Invoicing the client and informing Training Manager of booked session

  • Overseeing the logistics from the client for 'in-house' training bookings

  • Working with Training Manager so they know to provide further details to trainer and to chase hard copy training materials.
