The role -Trainee Administration Assistant
Location - East Kilbride (Office based)
Salary - £18-20K - depending on experience
Hours - 8.00-17.00

Office Angels are currently recruiting for a Trainee Administration Assistant to join the dynamic industry of Civil Engineering.

The role is based in East Kilbride and due to location will ideally suit someone with their own means of transport.

This is a fantastic opportunity to learn and develop new skills in an organisation with a solid and enviable reputation. This role would suit someone who is confident in their ability and is looking to build a career in administration.   

The main function of the role is to provide business support to HR, operations, on-site projects, finance, and other areas of the business. You will be comfortable speaking with clients on the phone, handling paperwork and will be able to use your initiative to ensure everything runs smoothly.   

Key Duties:  

* Acting as first point of contact for incoming calls and visitors to the business.
* Taking accurate messages and passing them to relevant department.
* Overseeing H&S for the reception area - temperature checks (part of the Covid-19 procedure) & liaising with cleaning contractor to ensure standards are maintained.
* Processing and collating timesheets and ensuring they meet the deadlines set by the accounts department.
* Dealing with new start/leaver paperwork and updating systems.
* Ensuring the office stock of stationary & consumables are replenished when necessary.
* Project administration - opening new files, generating templates and folders for site staff.
* Printing drawing to spec and storing in correct folders.
* Scanning site paperwork and saving to project files.
* All other business support as and when required

Key Skills/Attributes: -

* Strong written and verbal communication skills.
* Working knowledge of Microsoft Office - Word and Excel in particular.
* Previous experience of working in an office administration/business support environment.
* Customer service.
* Some knowledge of GDPR regulations.
* React quickly to business needs 
* Deal with any issues in a non-defeatist and optimistic manner
