JOB ROLE: Temporary HR Coordinator - 5 months

HOURS: 36 hours per week

SALARY: £16.00 per hour

LOCATION: London - Kings Cross

Remote working: 3 days in the office / 2 days from home

My client is seeking a temporary HR Coordinator to work on a temporary basis for 5 months until the end of this year.

You will be joining a team of HR Coordinators who are the first point of contact for candidates, hiring managers, employees and non-employees (e.g. secondees, visitors and service partners)

Escalating issues to the HR Advisory team, Managers or other HR teams where necessary.

You will provide an efficient proactive administrative service from the start of the employee life cycle to the end, including accurate processing of data, which will include new starters, employees and non-employees.

You will develop a deep understanding of your customer group in terms of the movement and changes by working closely with the HR Advisory team and Operations Administrators

There will be opportunities to work on a range of projects supporting continuous improvement and objectives within the immediate team and wider HR function.

Duties will include:

  • Manage all HR administration such as recruitment, new starters, leavers and employee changes in Workday in accordance with the standard operating procedures

  • Manage employee electronic personnel files in line with standard operating procedures

  • Make suggestions for the on-going improvement and optimisation of Workday processes in your area, working collaboratively with the relevant colleagues

  • Act as the primary point of contact for all general HR and recruitment queries from candidates, new starters, hiring managers, employees and non-employees, and where appropriate forwarding issues to the HR Advisory team, managers and other teams in HR;

  • Work with hiring managers and HR partners to provide advice and support throughout the recruitment life cycle administering high volumes of recruitment activity;

  • Deliver an excellent on-boarding experience for new starters, including delivering HR inductions;

  • Ensure roles are advertised appropriately and vacancies that may require a visa are compliant

  • Completing the post offer administrative process for new starters in an accurate and timely manner, including contract production, security screening and checking eligibility to work in the UK;

  • Proactive administration of HR processes such as new starters, contract extensions, leavers, family friendly, references and other variations, including accurately updating the HR database in line with team user guides and general correspondence;

  • Support HR Advisory colleagues with formal meetings including absence and maternity cases;

  • Monitor probation end dates and notifying managers and advising on process as required;

  • Managing the administration and screening of non-employees on our HR database, e. agency workers, service partners and visiting workers;

  • Payroll processing

  • Ensure the high standard and consistency of the teams work by checking new contracts, contract variations and other correspondence issued from within the team


  • Ability to build rapport with a wide cross section of people and maintain good working relationships;

  • Good team working skills;

  • Exceptional understanding of providing a high level of customer service to everyone engaged and employed at the institute;

  • Well organised with a strong ability to prioritise;

  • Tact and discretion when dealing with confidential information;

  • Strong problem solving skills with excellent attention to detail;

  • A basic knowledge of good HR practice including recruitment administration;
