Responsible to: Service Manage/Person-in-Charge

Responsible for: Giving full administration support to the Service Manager in dealings related to client, staff and the Service

� Support with enquiry management for example arrange viewings for potential new residents, sending out literature and keeping records of enquiry progress on enquiries management programme 'found'.

� To ensure, in conjunction with the Service Manager and Housekeeping, that the rooms and the Service are well presented and ready for showing prospective clients around.

� Check all vacant rooms on a regular basis to ensure cleanliness, good presentation and order.

� Support with the admissions process including meeting with prospective residents/families to discuss admission, completion of pre-admission and admission documentation.

� To ensure residents receive sundry services including hairdressing and chiropody when required, keeping accurate records of these in case of invoice queries.

� To liaise with families related to transport for pre-booked appointments / charges if applicable.

� To liaise with families/residents when new or additional clothing and other personal items are required.

� Ensure relevant forms are completed and accurate records kept if handling residents' monies.

� Provide full HR support to the service, ensuring that personnel files staff are compliant with the Home Office, regulatory requirements and Company policies.

� To arrange date of in-house orientation training and liaise with the Training Coordinator prior to commencement.

� To support with staff rotas and update where necessary in conjunction with the Service Manager

� To keep records of staff absences, sickness and holidays

� To assist in the day to day staffing levels, arranging agency staff from the approved list if required

� Taking minutes of all meetings

� Compose and type professional letters.

� Record any complaints, compliments or concerns received by you, escalating as required in accordance with Company policies and procedures.

� Completion of weekly wages returns Excel spreadsheet, checking all agency time-sheets against the rota and sign in sheets and ensuring hours worked by staff are logged and accurately recorded prior to submission to Head Office.

� To submit all agency time - sheets to the relevant agency on a Monday morning and liaise with agencies to address any disputes prior to submission to Head Office.

� To respond to invoice disputes within one week of receipt.

� To ensure staff training hours are correctly recorded on the wages returns spreadsheet and ensuring that attendance sheets for any training completed are submitted to the Training Department

� To ensure that all visitors and potential customers are warmly welcomed, offered refreshments and offered help and assistance promptly.
