JOB ROLE: Junior PA - (supporting a Director)
JOB TYPE:

HOURS: 08.30am-17:00 5 days a week in the office

SALARY
: Up to £25-30k - subject to experience

DUTIES INCLUDE BUT ARE NOT EXCLUSIVE TO



  1. Carry out reception duties including answering all incoming telephone calls, taking concise messages and reporting to the whole team any important information at the earliest opportunity.




  1. Working closely with a Projects Director and assisting them with PA duties on a daily basis. This includes:




  • Reminding them of important tasks and deadlines.

  • Managing diaries and organising meetings and appointments.

  • Booking and arranging travel, transport, and accommodation where necessary for site visits.

  • Acting as a first point of contact: dealing with correspondence and phone calls where necessary.




  1. Typing correspondence including reports, specifications and letters and maintain the office software and paper filing system.




  1. Organise drawings and ensure they are filed away correctly (hard and soft copy).




  1. Managing the cloud-based document control for the Team's projects (Each Client uses a specific system; training will be provided for this)




  1. Responsible for undertaking the office filing duties and ensuring all project folders have up to date information (hard and soft copy)




  1. Responsible for collecting diary sheets for the Team every Friday and knowledge of their whereabouts throughout the week.




  1. Assist the Project Director with all Quality Processes, including ISO 9001 Assessments and carrying out audits to ensure all project quality is up to standards.




  1. Assist with social media and marketing literature including case studies, CV's, brochure and website.




  1. Responsible for producing Team Workload schedule for the whole company every Monday morning as a first task.




  1. Assisting the Business Manager with all overflow of work from other Teams.




  1. Assisting with keeping the office, stationary cupboards and other tambour cupboards tidy and organised at all times.



SKILLS REQUIRED:



  1. Competent in use of Microsoft Word and Excel.

  2. Strong typing skills.

  3. Confident, polite telephone manner
