The role would primarily provide administrative assistance and support to the office.



JOB ROLE: Team Secretary


INDUSTRY: Property Investment


SALARY: £35,000 - £37,000


LOCATION: West End / Hybrid



JOB ROLE:



  • Manage the team's general inboxes and shared Outlook calendars, flagging up relevant enquiries to appropriate team members.

  • Preparing the departmental process maps as appropriate.

  • Scheduling training and development sessions; liaising with relevant external facilitators;

  • Assisting the administration of agendas and papers;

  • Preparing and circulating documents for comment (e.g., consultation papers, draft reports), collating responses and preparing the final documentation for submission to relevant groups;

  • Providing support to meetings, including booking meeting rooms or digital session, arranging catering, ensuring the meeting rooms are equipped;

  • Familiarisation with the Regulations, Policies and Procedures;

  • Maintaining and updating of our CRM system;

  • Providing administrative support to the management of complaints

  • Preparing agendas, minutes for relevant groups as required within set deadlines

  • Managing Committee, Adjudication Pool and relevant Work Groups membership information and database records (where applicable), circulation lists, web pages etc.



ESSENTIAL SKILLS:



  • Graduate with relevant work experience.

  • Excellent interpersonal and communication skills, and a commitment to providing the very best service.

  • Highly-organised, business-like and efficient approach to work.

  • Minute taking and diary management experience.

  • A self-starter and ability to prioritise complex workload alone or as part of a team.

  • A positive approach with a strong sense of team and a calm persona.

  • Experience of using Microsoft Office tools.

  • Experience in using and managing online meetings and team collaboration platforms e.g. SharePoint, Monday.com etc.

  • Appreciation of equality and diversity issues in the workplace. Desirable

  • A strong understanding of professional and/or membership bodies.

  • Experience in governance, regulation or related fields.

  • Experience of working in the voluntary/charity sector.

  • Sympathy with the ideals and values of the and landscape issues.
