Our client is luxurious and modern co-working space with a vibrant atmosphere. They are looking for a highly organised, detail orientated and energetic candidate, the ideal candidate will have direct Team PA experience, with supporting a minimum of 6 Senior members of Management.

You will be directly supporting 6 members of Senior Management/Heads of department. You will be supporting departments such as Business Development, Design and HR, these specific departments may be more demanding in terms of diary management and meetings, but all departments will require even support.

  • Arrange meetings internally and externally, travel accommodation and general administration duties for the Executive Team.

  • Take responsibility for the diaries of the Executive Team and booking of company/departmental/executive and client meetings

  • Take notes (where required), ensure actions are communicated appropriately

  • Liaise with Co-Founders Assistants to ensure actions from Executive Team meetings are communicated and followed through where necessary

  • Assistance with monthly expenses for Executive Team

  • Manage the co-ordination and execution of monthly team updates in line with the agreed budget

  • Collect mail from Concierge daily and deliver to the relevant department

  • Screen incoming calls, routing the enquiries to the relevant people where necessary

  • Organise internal & external meetings and book relevant meeting rooms

  • Ad hoc admin requests for Executives (i.e. licensing application, filing + archiving and photocopying)

  • Oversee office function and keep the office organised and running efficiently

  • Oversee office supplies, ordering them as needed and keeping track of inventory

  • Management of the internal Organisational Chart & phone directory

  • Assist and support EA to CEO with annual and ad hoc company events


  • Advanced in Microsoft Word and Outlook

  • Excellent communication skills, with the ability to communicate effectively at all levels of the organisation

  • Happy to work in a fast paced / demanding role.

  • Strong organisation and timekeeping skills

  • A can-do attitude and willing to help the HQ team function effectively

  • Have a positive, open and approachable personality

  • Ability to act with discretion in confidential situations

  • Attention to detail
