My client who are a UK leading Property enterprise are seeking a Team Assistant to join their team, working hybrid and paying up to 35k!

This role is responsible for providing a professional and efficient administrative support service across the Department by the carrying out of the key admin support duties listed below.

Working in their brand new offices in the West End, this client has a hybrid working environment with just a minimum of 2 days in the office each week.

You will be joining a lively team of 30 people, working with all levels of staff from Directors to Graduate Surveyors, Facilities Manager and Accountants. You will have the opportunity to have a say in how the role develops and put in place your own processes and procedures for some of the key tasks.

Main tasks:

  • Provide Administrative & Technical Support for the whole department - the focal point for communication lively upbeat department, eyes & ears for leadership team

  • Act as the first point of contact for all enquiries, and liaise with surveyors to resolve where possible

  • Arrange Meetings including, department meetings, leadership team meetings, surveyor meetings, client management meetings.

  • To support the preparation of management reports.

  • Attending meetings to take minutes and subsequently issue actions. Or assist in typing up minutes for surveyor meetings.

  • Support with mail-merges, occupier engagement initiatives and other external communication.

  • Relaunch central filing system in light of hybrid working, and assist with the departments filing.

  • Co-ordinate desk booking system to optimise use of Wells Street by the Department.

  • Support with the departmental billing on monthly basis.

  • Assist in completing surveyor and departmental expenses and disbursement matching.

  • Facilitate department-wide communication.

  • Facilitate Departmental Training & Social Events.

  • Assist in booking travel arrangements.

  • General Admin and support tasks as required by the surveyor, Facilities Managers & Accountants.

  • Occasional cover for front of house.

  • Be an ambassador for this amazing company.

  • Any other reasonable duties required for the role.
