Overview:


An amazing opportunity to join a niche firm of international construction lawyers as their Senior Office Admin Assistant.


You will be responsible for general administrative duties, assisting in the day to day running of the business and reception when required. You will assist the Fee Earners and Marketing Consultant, collating legal bundle and cost submission preparation.


You will need to be organised, have a positive attitude and flexible approach to fully supporting the business.


Sounds interesting?...Daily duties include:



  • Document management and bundle preparation

  • Cost submission preparation

  • Assisting the Compliance officer with Anti-Money Laundering & Anti-Bribery Policy Compliance

  • Management of compliance of Fee Earner file reviews

  • Management of client care log and new matter log

  • Updating website via WordPress

  • Liaising with marketing consultants re the distribution of newsletter

  • Data entry - Updating contacts in the company database (FileMakerPro) including entering new contacts, requests to be added to mailing list and deletion of unsubscribes

  • General filing, archiving and photocopying

  • Creating spreadsheets and presentations

  • Scheduling appointments and maintaining the central diary

  • Organising travel (domestic and overseas) and arranging visas

  • Scheduling conference calls

  • Organising Hearings and meeting room bookings

  • Organising refreshments & lunches

  • Ordering stationery supplies and equipment

  • Reception cover as required: Welcoming visitors answering the telephone and referring enquiries, screening phone calls, taking and relaying messages, opening, sorting and distributing the post, receiving and distributing deliveries, arranging couriers


To be successful in this role you'll be:



  • Ability to multi-task and work under pressure.

  • Good Working Knowledge of MS Office with excellent knowledge of MS Excel and Adobe Professional

  • Excellent Communication Skills and a Good Telephone Manner

  • Excellent eye for detail and good proof-reading skills
