Our Client is looking for an exceptional not-for-profit organisation who are looking for a Secretary to join on a temporary basis. Your main duties will be to provide secretarial support to the Tax Team, with responsibility for assisting the team's engagement with members, by phone, email or letter; assisting with the team's diary management; supporting Committee Secretaries with the practicalities of distributing committee papers and organising meetings; providing administrative help to the tax team

Hours - Monday - Friday 1 day wfh to begin with (Fridays) increase to 2 days wfh once settled in to role

Salary - £18 - £21 per hour.

Location - Belgravia

Main Duties

  • Be the first point of contact for the Tax Team, taking calls from members routing them appropriately after taking down and recording details. You will also be triaging emails from member's requesting advice.

  • Log details of calls and enquiries on the Customer Relationship Management (CRM) system and support the teams' advice case management.

  • Composing general correspondence including letters/emails of acknowledgement and requests for information.

  • Manage the Chief Tax Adviser's diary, setting up meetings for them and other team members, and keeping an eye on their incoming correspondence (email/letters), particularly when on annual leave or in meetings, etc.

  • Providing support to the Tax Team by assisting colleagues with travel bookings and expenses, arranging meetings/seminars and other events.

  • Maintaining an effective filing system, including keeping a record of invoices in connection with the library, travel and expense claim's forms and liaising with the finance and other departments.

  • Working closely with the Chief Tax Adviser and colleagues to organise Committee meetings, collating and sending papers and minutes to the attendees, checking and updating committee membership lists, booking rooms and on the day greeting attendees and ensuring refreshments are available.

Essential Skills

  • Proactive in approach to work and ability to work independently without supervision.

  • Good drafting skills and capability to extract, gather and arrange information.

  • Good organisational and interpersonal skills.

  • Proven computer literacy and particularly good knowledge of Word, Excel and PowerPoint.

  • Analytical and logical approach to work.

  • Diplomatic in the handling of sensitive issues.

  • Ability to learn taxation basics.
