Role: School Administrator



HOURS: Monday to Friday, 8am - 5pm



SALARY: £13.16 per hour

KEY RESPONSIBILITIES



  • Cover reception duties, answering general telephone and face to face enquiries and signing in visitors, dealing with parental and visitor enquiries and supporting student enquiries.

  • Assist with student first aid/welfare duties, looking after sick student, liaising with parents/staff etc.

  • Assist in arrangements for school trips, events etc.

  • Provide administrative support for the admissions process including liaising with the local authority, parents, other educational establishments, etc. Obtaining student educational records and processing new students starting at the academy

  • Provide assistance to parents of new students on relevant academy matters including uniform, etc.

  • Supporting Finance with administrative actions for ParentPay including communication to parents and dealing with queries that may arise

  • Administration of student bursaries, ensuring the completion of various required documentation in line with finance policy. Supporting and liaising with students regarding bursary queries, tracking expenses and advising on allowable expenditure in line with the policy

  • Ensure Free School Meals students are registered, as and when required; liaising with Local Authority, parents and students to ensure they are informed of eligibility & processing FSM voucher payments

  • Utilising various online portals in order to support the completion of tasks e.g. ParentPay, Secure Access, Bromcom, Huggg, etc.

  • Using My Child at School and emails/texts through Bromcom to send Academy communication as advised by the SLT

  • To ensure the academy minibus is regularly checked by a qualified MiDAS driver and records are maintained

  • Provide general clerical/administrative support e.g. photocopying, filing, e-mailing, completing standard forms, responding to routine correspondence

  • Maintain manual and computerised records/management information systems

  • Using the Bromcom MIS system to log data and produce required data

  • Undertake various administrative duties and procedures; maintaining and collating student reports

  • Undertake routine administration of school lettings and other uses of school premises.

  • Provide timely and effective operation of secretarial and administrative support to the Principal and the Senior Leadership team

  • Maintain tracking for students on exclusion; and dealing with the communication and correspondence to parents, staff and students relating to this

  • Update the academy website as necessary under guidance of the Director of Resources, Principal and Senior Leadership Team

  • Assist the Academy by maintaining good relationships with staff, parents, governors, contractors, representatives and external agencies in order to promote the objectives of the School

  • Taking minutes of meetings where necessary, preparing agendas, papers and minutes and keeping records as required

  • Supporting the Reprographics area in copying documents as requested by various members of staff including preparing teaching resources, as necessary

  • Other duties as may reasonably be requested by the Executive Principal




PERSONAL ATTRIBUTES




  • Good communication skills, able to liaise with all parties involved in the school

  • Ability to relate well to children of academic age

  • Experience of working with children of relevant age (11-19) desirable

  • Strong MS Skills and Knowledge of School software packages

  • Ability to work on own initiative and as part of a team

  • Acceptable professional appearance at all times

  • Strong written and verbal communication skills
