SALARY: £22,000 - £23,000 (hourly rate equivalent whilst temping)

JOB DESCRIPTION


The successful candidate will have previous experience in a similar role. They will be able to provide general secretarial and administrative services, cascading information and dealing efficiently with a wide variety of internal and external stakeholders. They will be able to organise and effectively manage the day to day running of a project office.



RESPONSIBILITIES & ACCOUNTABILITIES



  • Manage all inbound callers to main office number and act as first point of contact for all

  • Manage meeting room calendars

  • Manage the mail process, from logging inbound mail and its distribution and the sorting, postage and franking of outbound

  • Collate and report daily on movements, attendance, sickness and holiday of staff, update telephone and attendance lists

  • Maintain the staff database, including necessary reporting for Management and Group.

  • Liaise with photocopier contractor to report meter readings, ensure maintenance contract is upheld and all consumables are readily in

  • Manage the office cleaning staff to ensure the office is left presentable at the end of each day.

  • Work alongside designated individuals and the registered Fire Officer to ensure that the office OHS&E fire procedures are followed, including fire alarm tests and

  • Organise courier services when required

  • Organise refreshments for meetings with external visitors, as required, and liaise with Milkman and delivery

  • Act as administrative support during times of holidays, sickness and/or

  • Administer and maintain Key Fobs and Gate Key

  • Co-ordinate shredding/waste/skips

  • Taking and typing meeting minutes

  • coordinate the issue of monthly newsletter publication (both internal and external)



  • Managing appointments/diary for key management team

  • Issuing supporting documentation as required

  • Collating reports as required including organizing input into these reports.

  • Other secretarial duties including typing from copy or audio, photocopying, distribution of correspondence, ordering stationery and filing

  • Undertake other tasks and duties as may be required from time to

  • Ordering PPE for site/office based

  • Managing all items in relation to IT for the project office and staff included such as computers, phones, mobiles and printers.

  • Monitoring deadlines for daily/weekly/monthly tasks such as reporting and other items potentially requested by the Senior Management Team.

  • Assisting with the management of Office Moves.



PERSON SPECIFICATION REQUIREMENTS



  • Candidates must be effective communicators, both written and verbal

  • Excellent IT skills including MS Word, Excel, Power Point, Publisher and Outlook

  • The ability to plan and prioritise

  • Smart, presentable appearance

  • Innovative and focused on continuous improvement

  • Motivated with a positive 'can do' attitude.

  • Conduct yourself in a respectable manner

  • Professional approach and high level of discretion

  • Team player, willing to learn and get involved with wide range of tasks.
