JOB ROLE: Receptionist/ Administrator
JOB TYPE: Full Time. Temp to Perm.
HOURS: 9am - 5.30pm
SALARY: Up to £25,000
LOCATION: Mayfair


RECEPTIONIST



  • Receiving visitors at the front desk by greeting, welcoming, directing and announcing them appropriately, preparing refreshments where required;

  • Dealing with incoming calls and post, distributing to the relevant people, taking and passing on messages, handling queries;

  • Maintaining safe and clean premises, meeting rooms and reception area by complying with procedures, rules, and regulations, ensuring everything is safe and tidy at all times;

  • Running errands such as hand delivering documents, post office trips, etc.;

  • Posting outgoing and incoming mail, distributing as appropriate, managing records data on special/recorded deliveries and couriers;

  • Providing basic and accurate information in-person and via phone/email;

  • Stationery and supply monitoring and re- ordering, managing contractual arrangements with suppliers, unpacking fruit deliveries, ensuring fridges are fully stocked, printers have paper, etc.



TEAM ASSISTANT



  • Managing diaries, liaising with all parties to arrange or re-schedule meetings; sending out calendar invites, booking rooms;

  • Booking transport and accommodation, liaising with booking agents and staff, checking in and printing boarding passes, booking confirmation, updating diaries, etc;

  • Organising and booking company events, training, meeting breakfasts/lunches and celebratory events;

  • Producing/distributing agendas, participating in meetings, taking/distributing minutes;

  • Performing other clerical duties such as filing, photocopying, binding, etc.



HR/ADMIN



  • Organising and filing documents correctly, maintaining filing systems;

  • Stationery and supply monitoring and re- ordering, managing contractual arrangements with suppliers, unpacking fruit deliveries, ensuring fridges are fully stocked, printers have paper, etc.



  • Compiling, editing, printing various documents, reports and presentations;

  • Managing databases and filing systems;

  • Using various computer packages - Outlook, Word, Excel, PowerPoint, etc.;

  • Assisting the HR Administrator and Head of HR & Admin;

  • Participating in HR training webinars

  • Using data management portals.




KEY SKILLS:



  • Black belt in organisation

  • Discretion and trustworthiness

  • Proven work experience as a Receptionist, Front Office Representative, admin, junior HR or similar role

  • Excellent and fluent spoken and written English;

  • Friendly and professional telephone manner;

  • Exceptional communication and customer service Skills;

  • Tact and diplomacy;

  • Flexibility and adaptability;

  • Great time management and organisational skills;

  • Ability to multitask and prioritise;

  • Being goal and detail oriented;

  • Being self-motivated, focused, and persistent;

  • A knowledge of standard software packages and the ability to learn company-specific software if required.
