JOB ROLE: Reception/ Office Coordinator


COMPANY: Investment Banking


HOURS: Full time, Permanent


SALARY: £30,000 - £35,000


LOCATION: London



What is the purpose of your role:



  • Serve visitors by greeting, welcoming, directing and announcing them appropriately

  • Answer, screen and forward any incoming phone calls while providing basic information when needed

  • Receive and sort mail/deliveries/couriers to all the two floors

  • Helping in arranging couriers and deliveries

  • Maintain security by following procedures and controlling access

  • Booking meeting rooms

  • Maintain safe clean and tidy reception area/meeting rooms/all communal areas

  • Perform other clerical receptionist duties such as filing, photocopying, collating etc.

  • Provide administrative and general support

  • Contribute to team-wide communications and knowledge management, and participate in organisation-wide events

  • Assisting the Facilities Manager, occasionally liaising with maintenance companies, suppliers, building management, cleaners etc.

  • Assist in Health & Safety for the office incl. fire, first aid, employee comfort & wellbeing, desk assessments

  • Oversee conference room calendars and liaise with the Facility Assistant to ensure rooms are prepared and "staged" for specific meetings throughout the day.



What background you will need to be successful:



  • Extremely pro-active, ambitious and be a self-starter.



  • Strong communication and interpersonal skills; professional approach



  • Excellent written and verbal communications.

  • Have the ability to build and maintain strong relationships both internally and externally, communicating professionally at all times.



  • Work well as part of a team, liaising with colleagues to ensure the department runs efficiently and deadlines are met to a high standard.

  • Have advanced proficiency in Microsoft Word, Excel and PowerPoint.
