Project Coordinator

Office Angels are currently recruiting for a Project Coordinator for our client based in Bagshot.

Role: Project Coordinator

Location: Bagshot

Salary: £30k

Duties include but are not limited to:

  • Training - Governing the training matrix, ensuring all operatives tickets are up to date, booking courses/NVQs and touchscreen tests. Booking yearly health screening. Liaise with operatives, directors, and external training companies.

  • Wages/Timesheets - Weekly inputting of timesheets into a payroll spreadsheet. Processing various operative's tickets and timesheets separately.

  • Weekly transport recharges.

  • Enquiries - Processing new enquiries, printing, saving, and liaising with directors and clients to arrange site visits.

  • Quotations - Once the work has been priced, type up the quote and send back to client.

  • Job Scheduling - Managing all upcoming and live jobs, working closely with the directors and contracts manager to arrange timeframes and start dates. Updating the job board.

  • Diary Management - Booking meetings and general diary management of the directors. Communicating with stakeholders at all levels

  • Invoices - Coding received invoices, including processing fitter invoices and transport invoices.

  • Site paperwork/ Site set up - Preparing paperwork for site, ensuring all site-specific files are complete as well as all other paperwork. Processing paperwork returning from site and typing up waste logs.

  • Signage - Keep on top of stock of signage

  • Asbestos Surveys - Sending out Asbestos Surveys and processing removal quotations and updating the asbestos register

  • Plant Inspections - Scheduling plant inspections and typing up reports

  • Orders - Managing all orders for site, including PPE, hire orders, machine orders and any other requirements

  • Plant Recharges - Monthly recharges of invoices.

  • Board Report - Creating the quarterly board report and updating the current job spreadsheet, liaising with the director

  • Plant Moves - Arranging plant moves with the external transport company

  • Tendering - Creating tender packs and introductory files to send out to new clients. Sourcing and reaching out to new clients and request to be added to new tender lists.

  • Recruitment - Liaising with recruitment agencies for site staff and office staff, creating and editing job adverts. New starter inductions and writing up contracts of employment.

  • Ordering signs and stickers for site and the machines

  • Management of staff holiday spreadsheet

  • Considerate Constructors Scheme - Creating all works involved with the scheme checklist and producing a thorough audit report. A visit to site may be required.

  • Writing case studies as and when required

  • Marketing and social media - Manage demolition social media platforms, schedule posts and collate images received from site.

  • Operative Log - maintaining and updating weekly plant and operative log

  • Management of Site Zone proximity awareness system, create weekly spreadsheet of incursions
