JOB TITLE: Programmes & Events Assistant

JOB TYPE: Permanent

SALARY: £25,000 - £30,000

COMPANY TYPE: Membership

  • Effectively co-ordinate the delivery of programmes and events, conferences, coaching and related services

  • Provide excellent customer support, advice and guidance

  • Delivery of both virtual and face to face events

  • Processing of enquiries from customers, including the monitoring of mailboxes, phone queries and live chat services

  • Work within agreed operational plans and set targets making effective use of resources

  • Adhering to budgets and working with line manager to ensure budgets stay on track

  • Manage relevant projects to delivery through coordinated planning, resource scheduling and capacity management

  • Provide and review management information as required relating to programme delivery including use of associates and staff, financial information and feedback data

  • Maintain and produce relevant delegate data

  • To ensure all customer satisfaction and impact surveys are sent out on time and data collated and fed back to ensure continuous improvement

  • Ensure records are up to date and all data is correct

  • Work with the team to ensure that quality issues are raised and responded to promptly, to contribute to continuous improvement reviews, including feedback on delivery, use of third parties etc.

  • Responsible for all financial administration of delivery (purchase orders, contracts, invoicing)

  • Manage post programme customer satisfaction survey, impact surveys, feedback analysis and learning

  • Respond to any concerns or complaints raised promptly and professionally and escalate where required

  • Liaise with delivery team and Marketing to develop and produce relevant support materials (brochures, handbooks) and related web content for programmes and events

  • Any other reasonable duties commensurate with the level of role

Experience, knowledge and skills required

  • At least 5 years of experience within events / projects

  • Experience in both face-to-face and virtual events

  • Able to demonstrate ability to coordinate events from start to end

  • Knowledge and demonstration of some experience in project management

  • Awareness of quality improvement processes

  • Excellent IT skills across a range of IT systems including Zoom

  • Experience of working within a customer focused environment

  • Experience of working with a range of databases

  • Educated to Degree level (Relevant degree/ Masters) - Desirable

  • Previous experience in been a line manager/ supervisor - Desirable

  • Experienced in working within membership/ training/ development organisation - Desirable
