It's an exciting time to join this team, as the Director is leading an ambitious change programme transforming the wider organisation. The programme will enable our client to better serve and protect its clients by being a dynamic, inclusive and high performing regulator, with a strong reputation as an employer of choice.


The successful post holder will work closely with the Director supporting him in his role as Chief Transformation Officer. This role may be of interest to anyone with skills in Project Management or looking to further their skills in this area. There is a project within the Transformation Programme that will be led by the Private Secretary & Portfolio Manager.


This is a really good team to work with; it is a busy Private Office but a really excellent team - both the immediate PO team but also the wider Corporate Services team. The role offers a lot of insight into running a Corporate Services portfolio that includes Finance, HR, DDaT/ IT and Transformation. On a day-to-day basis the post holder will be involved in facilitating the decision-making for the director, getting real insight into how this is run for an organisation of 1,000 plus staff.

HOURS: 09.00am - 5.00pm


SALARY: £35 -£38 per hour

KEY RESPONSIBLITIES



  • Act as a conduit for the Director across the Corporate Services portfolio and the rest of the organisation, providing and effective and efficient gate to and from the Director

  • Ensure the efficient operation of the Director's Office by overseeing and prioritising the day-to-day flow of papers, meeting objectives, actions and wider business activities (including overseeing central risk logs and budgets)

  • Support and represent the Director's views or decisions on the Corporate Services transformation

  • Portfolio management: lead on preparing the portfolio materials and assessments; support the Director to oversee the portfolio of programmes that typically require cross-functional collaboration and resource allocation

  • Ensure papers, briefings and submissions meet quality standards and the Director's expectations before submission to him/her, providing feedback as necessary to teams. Analyse, summarise and advise the Director on submissions, correspondence, briefing and speeches as necessary, on a wide range of topics

  • Proactively build effective relationships on behalf of the Director with staff at all levels within the organisation, regulatory bodies, government and external stakeholders as necessary - and where necessary represent the Director in meetings to ensure their views are represented and any actions tracked to completion

  • Develop a wide range of regular contacts on behalf of the Director; build effective working relationships with these contacts and represent the views of the Director

  • Attend meetings, and accompany the Director on external visits as necessary, ensuring the Director is briefed, providing on the spot advice as required and actions are tracked to completion

  • Work collaboratively with Private Secretary network across the entire organisation and ensure the Principal Private Secretary is regularly kept appraised of all relevant matters

  • Line manage the PAs within the Corporate Services Private Office, setting clear objectives for the PAs to facilitate the smooth running of the Private Office including effective diary management and meeting administration


SKILLS, EXPERIENCE AND ATTRIBUTES REQUIRED:



  • Extensive experience as either an executive Assistant/Private Secretary or Business Manager at Director level (Lead)

  • Excellent organisational skills with proven ability to identify priorities and support the Director to oversee their portfolio of work (Lead criteria)

  • Strong interpersonal skills with significant experience developing and managing effective working relationships and networks with a range of internal and external stakeholders

  • Ability to support the business in ensuring an effective programme of work, including managing budgets and risks effectively in a constantly changing environment

  • Enhanced written and oral communication skills; along with advanced Microsoft Office Skills:- MS Teams; Outlook; Excel; PowerPoint; and Word.

  • Discretion and an understanding of confidentiality issues.
