Job purpose:


To complete activities to ensure all Group and client related employees receive their net pay in a timely manner.


Ensure all transactions are prepared and processed whilst adhering to the appropriate authorisations and controls in place as well as contractual and statutory requirements.


The role will involve working with the Head of Payroll to provide proactive and timely information to the Finance Director and other members of the Management team as well as external organisations such as HMRC and pension providers amongst others.


Working closely with Head of Payroll and the team members to ensure an efficient, confidential and professional payroll service is provided to all areas of the Group and its Block Management clients.


To ensure your technical expertise remains current so you are able to increase the value you add to the Payroll team's technical capabilities.


Main Key accountabilities



  • Calculate commission payments in line with the authorised commission structures in operation by the specified deadline. Query any requests or data that do not conform to these arrangements with the Head of Payroll.

  • Either manually input or import commission data into the Payroll system by the specified monthly deadline. This will enable the Head of Payroll to prepare the monthly management reports.

  • Prepare and reconcile the monthly banking summary reports with the commission data being processed through the payroll system by the specified monthly deadline. This will enable the Finance Director to prepare a set of forecast reports.

  • Enter the data into all relevant schedules in line with documented processes. This will assist with the reconciliation of the pay elements being processed. Process all transactions by the designated monthly deadline to ensure the current payroll period reflects the adjustments.



  • Enter all variable pay types; payments and deductions; bonuses, part time hours, overtime, petty cash, expenses, unpaid leave and fleet related deductions into the payroll system by the designated deadlines to ensure the current pay period reflects the adjustment. Ensure all variable pay elements have been authorised by the designated parties as stipulated in the internal processes.

  • Assist with the checking of all input to ensure all permanent and temporary adjustments have been interpreted and processed in line with contractual and statutory requirements. Reconcile and verify all pay types by the specified deadlines to ensure the Head of Payroll can process and submit complete payroll submission files to the approval parties 3 days before pay day.

  • Assist with the financial and tax year end processes, for both the company and its Block management clients.

  • Reconcile the client HMRC payments on a monthly basis; investigate any queries and resolve these promptly to ensure each client account balances. This ensures that ongoing compliance is maintained.

  • Transmit all client payroll Full Payment submissions (FPS) on or before each pay day in order to comply with HMRC reporting requirements.

  • Review and process all client employee payrolls 3 days before each relevant pay day. This will enable the Head of Payroll to generate and submit BACS submissions for the appropriate approvals.

  • Distribute payslips, both hard and soft copies as appropriate, before pay day to ensure the department meets legislative requirements.


Professional skills and experience



  • Experience of payroll in a small team environment

  • Microsoft Office conversant, has excellent Excel skills and has used and has operated payroll systems.
