Part Time Personal Assistant - Property PA

We are seeking a brilliant but no-nonsense PA to support a busy client one-on-one.


The employer has an occasional self-confessed 'brusque' communication style and is very busy, but also has a sense of humour and needs someone who has assisted with Property Portfolios and ideally could use Xero to help support the accountant.

JOB TITLE: Part-Time PA

SALARY: £ £36,000-£40,000, pro rata, TAKE HOME: £21,600-£24,000

HOURS: Flexible, 3 days a week: Monday, Tuesday and Thursday

THE OPPORTUNITY


This is a flexible role to support the owner of a busy property portfolio.



Finance and Property PA duties:



  • Property development activities where the role would include liaison with joint- venture partners, architects, planners, estate agents, solicitors, research of sales values etc.

  • Need to liaise/ pay invoices, check the bank and upload data to Xero Accounting software


All duties:



  • Providing PA support both professional and personal

  • Paying household bills and insurances, keeping ahead of annual renewals and payments

  • Travel arrangements

  • Organise handyman or contractors for any maintenance works

  • Scheduling and diary management

  • Scheduling, prioritising and co-ordinating appointments and meetings

  • Monitoring and review of director's e-mail account.

  • Inbox management, filter e-mails, highlight and flag urgent correspondence and deal directly with straightforward matters.

  • Handling of confidential documents and information.

  • Producing of periodic reports (monthly and yearly) often using Excel

  • Project management on developments

  • Investment management and reconciliation and liaison with stockbrokers

  • General administrative duties, filling, scanning, ordering stationary, helping with IT

  • Liaison with tenants, letting agents, solicitors, insurance brokers and builders etc

  • Organising and resolving maintenance issues

  • Preparing rent demands (using Zero)

  • Monitoring rent receipts and dealing with arrears

  • Transferring of funds between accounts and liaison with bankers

  • Data entry into Zero

  • Assisting the VAT Returns for two companies

  • Credit card reconciliation

  • HMRC PAYE returns

  • Management accounts (Zero) and cash flow forecasts

  • Collation of end of year accounts and personal tax returns and liaison with accountants

  • Property Lending

  • Liaison with arrangers and checking documents

  • Monitoring interest receipts and loan repayments etc.
