Job Title: Part Time Administrator - Immediate start


Location: Taunton, Somerset (free parking)


Hourly rate: Starting salary of £10.00 per hour


Hours: Temporary to permanent, Monday - Thursday (16 hours a week - ideally 9am - 1pm daily but start and finish time slightly flexible)

We are recruiting for a proactive and reliable administrator to join a long standing and well-established business in Taunton. You will be responsible for supporting the team with a variety of administration duties ensuring the department runs smoothly. This is a part time role, initially temporary with the view to become permanent for the right candidate therefore you must be available immediately.


MAIN RESPONSIBILITIES:



  • Receiving and recording incoming timesheets for all employees and sub-contractors

  • Checking timesheet details for accuracy and referring to relevant managers with any queries including chasing those that have not been submitted

  • Entering timesheet data onto the database and spreadsheets for current projects

  • Scanning and uploading timesheets to relevant folders

  • Using data on timesheets to record employee overtime

  • Ensuring completion of weekly returns to Sub-contractor agencies

  • Liaising with Accounts Administrator over any delayed timesheets that may affect payment of sub-contractor invoices

  • Supporting receptionist duties, rapidly receiving and fielding telephone calls into the company

  • Accurately recording telephone calls to ensure information received is correct when referring or fielding calls

  • Supporting with the distribution of incoming and outgoing post

  • Collating new starter pack information, copying and filing

  • Writing out clock-in cards on a monthly basis


KEY SKILLS:



  • Strong IT skills with knowledge of all Microsoft Office packages (especially Excel and Outlook)

  • High attention to detail and accuracy

  • Understanding of the importance of confidentiality/GDPR

  • Exceptional communication skills

  • Good prioritisation and organisation skills

  • Ability to work well as part of a team and independently
