SALARY: £27.5k-£29k


LOCATION: All staff are currently working remotely, when Covid restrictions are eased, staff are expected to return initially through a hybrid model of office and home working

As PA/Business Support Officer, you will provide outstanding PA support to the Chief Executive (CE) and Deputy Chief Executive (DCE) including governance support to the DCE who is the Company Secretary. You will come into contact with a wide range of senior people from the world of higher education and beyond, so you will need to be able to deal confidently and competently with a wide range of people, both in writing and in person.


You will be an integral member of the Business Support Team. The team works collaboratively and flexibly to ensure work around membership, communications, events, pensions, employee relations, human resources, and research, as well as internal office services, are well-supported.


DUTIES:


PA support



  1. Provide effective diary management for the CE and DCE, including arranging meetings, making travel and accommodation arrangements, and ensuring that they are provided with the relevant travel and briefing documents and papers in advance of meetings.

  2. Assist the CE/DCE in their work planning, preparation for events/visits, record-keeping and filing.

  3. Respond to routine correspondence on behalf of the CE and DCE.

  4. Produce high quality, accurate and well-presented documents, presentations, briefing documents and reports


Board support



  1. Work closely with the CE/DCE/SMT around Board and other committee meeting arrangements.

  2. Prepare agendas, coordinate the drafting and submission of papers from relevant team members.

  3. Format and circulate papers via email and upload them to the Board pages of the website.

  4. Assist with regulatory duties and compliance around the appointments and resignations of Board members.

  5. Work closely with Board members' PAs and offices to arrange meetings


Customer service



  1. Greet visitors to the office in a professional manner, direct them as appropriate and provide refreshments.

  2. Answer the telephone, deal with enquiries, and refer callers on to the appropriate member of staff when necessary.

  3. Deal with or redirect as appropriate emails sent to the corporate/shared email accounts.

  4. Open and distribute the post and ensure daily dispatch of outgoing post.


Teamwork



  1. Liaise internally and externally to arrange and assist with meetings, including audio-visual equipment, room set-up, catering, and refreshments.

  2. Manage the corporate diary and arrange travel and accommodation for staff as required.

  3. Produce high quality, accurate and well-presented documents, presentations, briefing documents and reports on behalf of the team.

  4. Assist with research and projects as required.


PERSON SPECIFICATION:


Essential



  • Experience working in a PA role to a senior manager

  • Experience of working in an administrative role in a busy office environment

  • Experience of working collaboratively in a small team

  • Excellent all-round communication skills, including the ability to speak and write English clearly and to a high standard.

  • Well-developed IT skills.

  • Experienced and skilled user of Microsoft Office suite

  • Meticulous, organised and efficient.

  • Numerate

  • Ability to work independently without close supervision and maintain pace and accuracy.

  • Proactive, flexible and able to anticipate changing demands.
