Job Title: PA to Director of Operations

Location: Exeter

Hours: Full time, Monday-Friday

Salary: Up to £35,00 per annum dependent on experience

The Role: Working as the PA to Operations Director, you will demonstrate your excellent organisational skills in this varied and busy role, providing proactive administrative support across multiple areas, including email management, diary management with a high volume of appointments, assisting with the progression of projects, and managing communication between the Operations Director, the team and external stakeholders.

You will play a key part in the business acting as an advocate and representative of both the brands and Director of Operations.

As part of a small support team, you will be responsible for business admin needs, including weekly invoicing, HR admin, general office maintenance and management, plus providing admin support to the Senior Management and clinical team.

This is a great position for someone who loves a dynamic role with varied challenges as no 2 days are the same!

Key Duties

  • Managing the Directors diary, arranging meetings and preparing documentation as necessary

  • Full inbox management

  • Acting as a first point of contact for the Director, managing internal and external stakeholders with triaging queries and offering support where possible

  • Prioritising the Directors time, taking on tasks on their behalf where possible or delegating to other managers

  • Making reservations and arranging travel, transport and accommodation

  • Organising internal events including monthly incentives for the care team

  • Reminding the Director of important tasks and deadlines, ensuring all projects progress at the correct speed or escalating them when they do not

  • Preparing reports and supporting the Director with business statistics including power point presentations and excel spreadsheets

  • Preparing material ahead of monthly meetings

  • Minuting a schedule of meetings throughout the month

  • Implementing and maintaining procedures/administrative systems

  • Liaising with staff, suppliers and clients

  • Maintaining inventory and office equipment, with the support of the Business Support Associate

  • Managing expenses, business expenses and billing

  • Conducting research on behalf of the Director, as and when required

  • Managing the Clinical Administrator and providing them with support to encourage their growth

  • Providing admin support to the office in general

  • To promote the business brand, vision and culture, both internally and externally

About You

  • Previous experience as a PA or EA

  • Excellent attention to detail and strong communication skills both written and verbal

  • Excellent organisation and time management skills

  • A team player, with excellent people skills

  • Ability to prioritise and identify urgent and important tasks

  • Willingness to find a solution and to be a proactive thinker

  • Able to work under pressure and to tight deadlines

  • Able to build relationships at all levels across the business and with external stakeholders

  • Appreciation for discretion and confidentiality
