JOB TITLE: PA to CEO


COMPANY: Education Trust


CONTRACT: Permanent


SALARY: £40,000 -£45,000


HOURS: 8.00am - 4:00pm


START: ASAP


LOCATION: Victoria, London

DUTIES INCLUDE BUT ARE NOT EXCLUSIVE TO:



  • Provide general administration and organisational support to the CEO.

  • Manage and maintain the CEO's diary and email account and ensure that they are fully prepared for all meetings and engagements with relevant briefing notes

  • Manage CEO's travel arrangements, balancing cost and time efficiency and processing expenses

  • Conduct regular diary meetings with the CEO to discuss upcoming engagements and invitations and all other requests for the CEO's time.

  • Responding to invites and making necessary arrangements.

  • Work on delegated projects and research as directed to support the CEO in their meeting preparation.

  • Schedule meetings between the CEO and direct reports and the committees and groups of which they are a member.

  • Filter general information, queries, phone calls and invitations to the CEO by redirecting or taking forward such contact as appropriate.

  • Manage the process from "start to finish" of obtaining briefings and papers (as required) from key members of staff on behalf of the CEO, to ensure that they are fully prepared for all engagements and meetings.

  • Undertake desktop research as necessary to support the CEO's preparation for meetings and presentations.

  • Support and develop internal & external stakeholder relationships including the Sponsors, Trustees and local governors.

  • Keep and maintain an accurate record of papers and electronic correspondence on behalf of the CEO.

  • Handle confidential information; organise and maintain files.

  • In the absence of the CEO, prepare correspondence on his behalf.

  • Meet and greet CEO's guests and ensure they receive appropriate hospitality.

  • Ensure all education management meetings are coordinated, rooms pre-booked, refreshments available and all the necessary technology is working to ensure effective communications.

  • Work with the CEO to ensure that all information presented is as user-friendly as possible.

  • Assist the CEO to deploy any consultancy support to schools effectively.

  • Maintain risk registers on behalf of the CEO.

  • Ad-hoc project work as required from time to time.



SKILLS, EXPERIENCE AND ATTRIBUTES REQUIRED:



  • Experience in an Executive Assistant role in a corporate, entrepreneurial, and fast-paced environment

  • Financial administration experience

  • Commercial awareness

  • Ability to handle confidential data with absolute discretion

  • Experience of making considered judgement calls independently

  • Excellent English (spoken and written)

  • Proficient knowledge of Microsoft Office suite, in particular MSWord, Excel and Power Point

  • Experience in writing business communications

  • Excellent planning & execution skills

  • Confident in working with and liaising with senior executives and stakeholders

  • Ultra-organised, with great attention to detail

  • Able to prioritise tasks, working out what is urgent and what can wait

  • Warm, confident, friendly and approachable personality

  • Proven ability to effectively manage varying responsibilities and a busy workload

  • Resilient, and positive attitude
