Office Manager/Finance Administrator

My client are a boutique set up that focus in IT, Commercial and consultancy based in the West End, stunning offices, AMAZING culture looking for someone to join their dynamic team.


This role is varied and you will be the "go to" person in the office. MUST HAVE XERO!!!



General Office Admin



  • Create & Issue Purchase Orders for goods required to various suppliers

  • Quoting for new works and follow up from said works

  • Maintenance proposal document creation

  • Diary Management for engineers - arrange onsite annual maintenance days for engineers to residential/commercial/Paxton clients

  • Answer telephones & deal with queries/clients/staff out on site



Credit Control/Invoice Factoring



  • Understanding & applying our Invoice Factoring procedures - invoice uploads & verifications, printing daily reports and processing payments, dealing with disapprovals, payment requests

  • Chasing aged debtors & resolving any client queries (Xero reminders, emails, telephone communication)


Invoicing/Xero



  • Invoicing for general adhoc callouts/annual maintenance, proforma invoices for non-contract clients




  • Uploading invoices for particular clients to their various specific portals




  • Supplier Bills to Xero/CRM/Cashflow Forecast



CRM administration




    • Updating CRM with relevant job information such as supplier bills/employee expenses relating to a certain job.






    • Updating CRM jobs with quotes/invoices and making sure that jobs fully completed are closed down






    • Creation of CRM jobs/tasks and assigning to engineers
