Fully Office Based - Monday to Friday - 9am-6pm
Overview:
As the key support role within the organization, you will be responsible for managing the Wimbledon office, overseeing office capex and maintenance, and providing support for office-related IT systems.
Your proactive approach will be instrumental in ensuring the office functions efficiently and becomes a welcoming and well-operating space for all colleagues. Working closely with the Receptionist, 3 Personal Assistants, and the Director of Capital Deployment, your contributions will play a vital role in facilitating smooth business operations.

- Monitor and manage all office-related contracts, proactively tendering expiring contracts and recommending preferred suppliers for material contracts to the Board.
- Oversee third-party contractors, ensuring value for money, quality service, and timely repairs and maintenance for office facilities, including air conditioning, car park shutter, lift, plumbing, electrical systems, and scheduled health & safety testing.
- Ensure compliance with all legislation and governance requirements related to office safety, fire, and life safety regulations.
- Project manage and advise on office upgrades and refurbishments as needed.
- Act as the primary point of contact for IT and office systems queries, liaising with third-party IT consultants and providing general IT support for staff, including laptop setups and printer fixes.
- Manage office communication contracts, overseeing relationships with phone providers, and monitoring phone efficiency and hardware needs.
- Ensure efficient functioning and clear instructions for board rooms and meeting rooms' IT and systems.
- Handle IT-related contracts, including hardware maintenance and ordering.
- Efficiently manage office supplies and expenses, including stationery, food, printing supplies, and monitoring costs against budget.
- Oversee office costs and overhead budget, approving spends made by the PA or Receptionist to align with the budget. Collaborate with HR to support HR-related tasks and initiatives and manage the company's online presence and ESG policies and procedures.
- Provide some PA duties to management team
To be successful in this role you'll have:
- Proven experience as an office manager essential
- Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
- Exceptional attention to detail and accuracy in document preparation and data management.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software/IT and systems.
- Outstanding communication and interpersonal skills, with the ability to interact effectively with stakeholders at all levels
