Office Angels are very proud to be working with a well-established education client based in Croydon. This is an exciting opportunity to utilise your office manager experience in a large organisation.


Please only apply if you have previous experience in a school. This role will also require a DBS.


Key Responsibilities:



  • Organise and supervise administrative systems within the school. Contribute to the planning, development and monitoring of support services and/or management of admin support staff, including the coordination and delegation of relevant activities

  • To provide support to Principal by ensuring that all necessary information is up to date and that requests are followed up in a timely fashion. Be responsible for the maintenance of the pupil database with a particular focus on roll, attendance and assessment

  • Take a lead role in the planning, development, design, organisation and monitoring of support systems/procedures/policies

  • Line management responsibilities where appropriate including, management of admin staff, liaising between managers/teaching staff and support staff

  • Hold regular team meetings with managed staff and undertake recruitment/induction/appraisal/ training/mentoring for other staff

  • To oversee the admission procedures both the annual admissions and the in year admissions

  • Take minutes at meetings, undertake clerical duties for governors meetings

  • Update and maintain the academy website, twitter feed and all social media

  • Ensure that staff data is up to date in line with School Work Force census requirements and produce the School Workforce Census

  • Undertake the management of HR procedures including payroll, new starters/leavers, amendments and related administration

  • Maintain and be responsible for the SCR

  • Process, and maintain records for Volunteers, Work Experience, Student Teachers, and Visitors

  • Maintenance of the Business Contingency Plan

  • Liaise with the DSL to maintain up to date safeguarding training and records for all staff, governors, volunteers and third party staff

  • Be responsible for the selection and management of resources, including management of a budget and regular audit of resources

  • Oversee and implement financial processes as directed by the Federation, including debt recovery

  • Work with the Principal and Harris Federation Financial team in the preparation, general supervision and maintenance of the academy budget

  • Work alongside the Principal to ensure the school has appropriate systems, processes and controls in place to maintain and manage all aspects of pupil data

  • Be responsible for the annual admissions procedure, including all necessary communications with parents, arranging parental interviews and appeals with the Principal

  • Be responsible for managing the in year waiting lists and organising admissions interviews

  • Load the annual pupil intake into Bromcom in addition to administering pupils when they arrive, leave or transfer to the school

  • Maintain individual pupil's records in accordance with Census requirements. Produce Census returns and ad hoc reports when necessary

  • Maintain the database of pupil records for attendance and punctuality, liaising with the Home School Liaison Officer as appropriate and where necessary

  • Maintain records of all disciplinary, behavioural and special needs issues relating to individual pupils and updating Bromcom where necessary

  • Record daily staff absence, employ supply agency teachers to cover staff absence when necessary

  • Eventually touching on Finance such as ordering, adding overtime etc but you would be supported by the Finance Business Partner
