We are working with a phenomenal architecture firm based a short walk from Elephant and castle station.

They have recently moved into a freshly renovated, beautiful office and are looking for their newest team member to manage both the facilities and administration.

JOB TITLE: Office Manager

JOB TYPE: Full time, permanent

COMPANY TYPE: Architecture

SALARY: £40-45,000 per annum

HOURS: Monday to Friday, 9.00am - 5.30pm (Flexibility needed for occasional events)

LOCATION: Elephant & Castle, London

CULTURE: Collaborative and supportive team


  • Maintenance management, including organising contracts, making sure checks and maintenance visits are completed on time, following up on any recommendations

  • Facilities management, raising any queries, concerns or issues with third party building maintenance contractor

  • Being first point of contact for any problems with the building and all office related queries

  • Being first point of contact for all contractors and managing cleaners, security services, etc.

  • Health & safety compliance management, including carrying out weekly fire alarm tests, fire drills, organising training, etc.

  • Management of administration team consisting of 4 people, including tracking KPIs, ensuring all shifts are covered, having full responsibility for admin team performance, conducting regular performance reviews

  • Management of meeting rooms, ensuring refreshments are set up ahead of meetings, and cleared once meetings are finished

  • Management of meeting room booking system, ensuring no double bookings

  • Organise travel arrangements and accommodation for directors and wider team

  • Working closely with finance team on budget management, authorising invoices, negotiating prices when placing orders

  • Assist HR with onboarding new members staff/off boarding leavers (access passes, day books, inductions)

  • Management of post and deliveries

  • Assist with organisation and planning of office events

  • Efficient running of the front of house when needed, including:

    • Call management, filter and take messages

    • Visitor management

  • Occasionally assist Manchester office with H&S compliance, stationery, and other issues

  • Any other ad hoc projects / tasks

Skills & Experience:

  • Office & facilities management experience required

  • Confident communicator

  • Impeccable organisation skills

  • Strong attention to detail

  • MS Office
