Times: 9am - 6pm (Mon - Friday)

We are looking for an experienced Executive Assistant/ Office Manager who is a confident communicator to act as the right hand for a chairman of a vast growing creative company based in Tunbridge Wells.

  • Arranging weekly meetings with company directors.

  • Personal errands for the company directors

  • Personal travel for the company directors

  • Sending weekly reports

  • Manage the chairmans emails - filing and filtering the general junk responding to clients, remind the chairman to respond to clients or meeting invites.

  • Sending diary invites

  • Fire safety inductions for new joiners

  • Petty Cash handling

  • Keeping to the standard of the Health and Safety regulations - organise first aid courses, arrange for the PAT testing to be done yearly which complies with our insurance.

  • Sorting the maintenance of the printers - arranging engineers if there is a problem ordering toners and cartridges.

  • Remind board members for their monthly reports in adequate time before meetings.

  • Managing the company flat - ensuring the meters are topped up, the tenants are keeping the flat to the level of cleanliness we require.

  • Booking accommodation for employees when travelling to Tunbridge Wells

  • Managing any office move, informing all employees of the office plans in a timely manner.

  • Diary management of the London Office - MBF

  • Any Maintenance of the London Space (Electricians or furnishings)

  • Any company errands - the everyday running round of the company.

  • Enter the directors Time-sheets

  • Enter the directors Expenses

  • Legal documents for clients

  • Client/suppliers NDA forms

  • Filing documentation for the directors

  • Filing documentation for the general running of the office

  • Parking permits for senior members of staff - ensuring we get the best rate available, keeping them up to date.

  • Diary management for the Exec board

  • Diary management - prioritise meetings, schedule in meetings with clients/internal

  • Liaise with clients for meetings (timings, venue, travel etc)

  • Travel itineraries - detailed to every movement of the trip

  • Arrange team lunches and Tim's lunch

  • Manage the maintenance of the office, electricians, engineers, plumbers.

  • Ensure the carpets are cleaned regularly

  • Arranging travel, booking hotels, flights, investigating where the best location will be and to always fit into budget, where the hotel should be in relationship with the client meeting venue to minimise the use of taxis

  • Booking restaurant reservations for Board members or any CS with client meetings.

  • Set up meeting rooms for client meetings

  • Liaise with the Opco regarding any changes/repairs to the office.


  • Can work in a quick changing working environment

  • Previous Executive PA and/ or office manager experience

  • Can work to deadlines

  • Available Immediately
