About the job role;

JOB TITLE: Office Assistant
08:30am - 17:30pm
£22,000 - £24,000

  • Provide excellent customer service and ensure clients feel happy and supported

  • Greet clients daily upon arrival and leave positive and warm impressions

  • Welcome all visitors and direct them to the appropriate person and floor

  • Ensure reception area is tidy, presentable and organised at all times

  • Receive, sort and distribute daily post and deliveries

  • Answer phone calls and transfer where applicable or take messages accordingly

  • Programme fobs/access cards when requested

  • Provide day to day support to all clients/ tenants

  • Driving visual standards by way of doing daily checks to ensure that the building is maintained and in full working order

  • Carrying out daily building walks and filling out the checklist accordingly

  • Actioning any maintenance or facility issues immediately by informing Facilities Manager and updating maintenance list

  • Working as part of the Executive Team to ensure that you communicate effectively

  • Ensure all issues, requests and important information regarding tenants and the building are passed through the appropriate lines

  • Ensuring that all building documentation, including client directories, and building handbooks, are regularly updated, correct and accessible via Dropbox

  • Updating CRM system, Operate, to log all client daily requests that incur additional costs they have agreed & recharging accordingly

  • Ensure security system, Net2, is up-to-date and creating reports when requested

  • Upload any building or client documentation to Dropbox to be accessible for the team

  • Supporting the Sales Team with logging leads, creating proposals and responding to sales and office space enquires when the Sales Executive is absent

  • Covering the London offices with reception and administration duties due to annual leave

Experience, knowledge and skills required;

  • Experience in a customer service environment

  • Excellent Microsoft Office skills

  • Excellent communication skills, written and spoken

  • Ability to prioritise tasks in a busy work environment

  • Proven ability to take initiative

  • Able to work independently
