JOB TITLE: Office Assistant


JOB TYPE: Permanent


HOURS: 9am - 5.30pm


SALARY: £22,000 - £25,000


LOCATION: Central London

Duties:



  • Working closely with the operations manager, supporting with various projects throughout the office

  • Managing all incoming and outgoing post, ensuring distribution to correct team member

  • Booking taxis for team members or clients

  • Working closely with the operations manager, supporting with various projects throughout the office

  • Provide written, verbal and e-correspondence, in collaboration with management and colleagues

  • Undertake research on behalf of colleagues

  • Supporting the sales team with preparing quotes and correspondence

  • Supporting finance with processing invoices

  • Produce presentations and written reports for the team

  • Restocking refreshments, stationary and ensuring the office is tidy / presentable

  • Managing emails in a timely manner

  • Using Microsoft Office, Outlook, Teams/Zoom to prepare documents, and organise meetings

  • Ensuring the meeting rooms are set up, vacated on time and any maintenance issues are reported

  • Liaising with operations manager to ensure smooth running of the office

  • Re-directing and screening the calls as appropriate and taking adequate messages when required

  • Accommodating, managing and processing meeting room requests when received via email or phone call

  • Creating and maintaining records on company system

  • Ensuring all communications are shared within the team

  • Taking care of a small amount of petty cash for ad hoc purchases, e.g. staff gifts and lunches.

  • To work as active member of the team and to be flexible and adaptable based on the changing needs of the business


Experience, knowledge and skills required



  • 3 A level's - A* - C

  • A solid interest in IT / Technology

  • Proficient in using the full Microsoft Office suite, including Word, PowerPoint, Outlook

  • Strong communication skills, verbal and written

  • Ability to work independently

  • Desirable - previous experience working within an office environment
