We are looking for a friendly and bright candidate who can support the senior management team at this charity. If you are intelligent and intuitive and buzz off of supporting senior staff to ensure they can focus as much on their goals as possible. In this role you will deal with trustees, attending meetings, organise and support a CEO.

THE ROLE:


To provide general administrative support for the CEO and Senior Management Team, ensure effective office management, and support other functions across the charity including the Finance, Development and Legal teams as required.


DUTIES:


PA to Chief Executive and Governance tasks



  • To support the CEO with diary management, correspondence, and travel and meeting bookings

  • Organisation of Council (Board) and internal all staff team meetings, designing presentations for meetings as required and preparing accurate and concise minutes of meetings

  • Liaison with Trustees

  • Opening post daily, desk research and ad hoc support as required by the Chief Executive


Finance tasks



  • Updating banking schedules with details of all cash and cheque income received daily and banking all income received at a local bank branch once or every other week

  • Maintaining petty cash records and documentation so that accurate reconciliations are recorded as required with the support of the Finance Manager

  • Raising sales invoices from pro-forma documents, reviewing aged debtors, and carrying out debt collection correspondence

  • Data input of expenditure in purchase, credit card and direct debit registers; and retaining credit card and other expenditure receipt

  • Ad hoc support for Finance Manager associated with annual budgeting, tender and audit activities


Office Management



  • First point of contact for in-bound telephone calls and e-mails addressed to 'info@' email address so that queries are directed appropriately and in a timely manner

  • Monitor our inbox and identify any changes to ezine distribution lists for action by the Communications team

  • Maintenance and general upkeep of the office, liaising with contractors as appropriate (cleaners, plumbers, handymen etc)

  • Ordering of office stationery

Qualifications:



Graduate or excellent prior experience* or equivalent







Skills:



* Excellent organisational skills


* Excellent communication skills both verbal and written


* Excellent working knowledge of Microsoft (Word, Excel and PowerPoint in particular)


* Strong experience of using database systems


* Very good telephone manner


* Experienced in working to tight deadlines
