Job Title: Studio/project Coordinator
Location: Wimbledon
Salary: £22-£26k pa

Our high end client is looking for two professionals to join their well established team based in Wimbledon. You will be ensuring smooth running of the procurement, logistical and administrative side of the operations department. You will have previous experience of ordering and working within tight budgets and deadlines. Previous experience of organising a diary in an administrative role in beneficial.

Key Responsibilities will include:

* Managing the ordering for all projects
* Liaising with all designers to understand their logistical project requirements
* Working closely with the finance department to ensure the smooth running of the company's cash flow
* Communicating, negotiating and forming relationships with all trade suppliers
* Liaising with all designers to understand their project procurement requirements
* Ensuring the smooth running of the administrative side of the Operations Department
* Finalise purchase details of orders and deliveries
* Running a fast paced diary, dealing with last minute changes and request
* Working closely with the warehouse department to ensure all goods are in within required time frames
* Responsibility of understanding and controlling project budgets
* Managing the company's storage database and diary, liaising with the accounts department, clients and external storage companies
* Internal overview of all upcoming and existing projects
* Answer all incoming calls
* Communicating with staff, clients, suppliers and others in a timely, friendly and professional manner
* Internal overview of all upcoming installations
* Meet and greet all visitors and clients
* Provide regular updates to Operations Manager on any issues
* Compiling and distributing all site health and safety information ahead of installation
* Overseeing internal diary- booking in meetings and deliveries
* Sort and distribute post
* Support the Operations Manager with administration duties
* Collate relevant statistical information as required, being proactive in the use of data to assist in decisions making processes
* Provide regular updates to Operations Manager on any issues
* Working effectively within a small but committed team but also working efficiently on their own as required.

Experience and skills required:

* The ability to build effective, professional relationships with various contractors
* Experience within a similar operations/administration/logistics role, with previous planning experience
* A high level of IT skills
* A confident and professional telephone manner
* Excellent organisational skills
* The ability to learn quickly and retain information
* Excellent communication and team working skills
* Skill in organising and prioritising workload in order to meet deadlines in light of changing, heavy workload and competing requirements
* Self-motivation
