Office Angels are currently recruiting on behalf of our client for a Part-Time Experienced PA. This is a part time role, working 16 hrs per week, located in Edinburgh. The preferred hours would be 10am - 2pm over four days per week, general office opening times are Monday - Friday, 9am -5.30pm. An hourly rate of up to £12ph, depending on experience.



Job Description:



This is an exciting opportunity to join a growing charitable organisation as well as a dynamic and friendly small team. The successful candidate will provide full business support as the charity aim to raise their profile across Scotland within government, business and civic society. Working closely with the director, you will ensure the smooth running of the office as well as responsibility planning and communications activities and help manage relationships with donors, prospective sponsors and other internal and external contacts as required.


The role requires a forward thinking and ambitious individual who can shape the role and make it their own. You will have excellent organisational and communication skills and a real passion for making a difference.



General Responsibilities & Duties:



PA duties include;



  • Diary and travel management to the Directors

  • Inbox monitoring, filtering and responding to queries as well as shortlisting emails requiring for the Director's response

  • Arranging and attending meetings

  • Processing directors' expenses as well as managing invoices, bank accounts and seeing through office finances with accountants

  • Maintaining and organisation of company databases including donor tracking, guest, media and sponsor lists, streamlining and making processes more efficient

  • Other ad hoc administrative duties to ensure the smooth running of the office



Communication duties include;


� Planning and assisting with the organisation of events, seminars and public speaking forums


� Assisting with the preparation of any written content, proof reading and publication of content


� Maintaining and streamlining databases, tracking sponsors and donors proof reading, as well as general administrative duties


� Collating of information, distribution of materials and maintenance of business tracking systems and improving systems and streamlining


� Event logistics such as creation, distribution and monitoring of invites, event set up, and on the day assistance



  • Liaising with colleagues at all levels and clients and targets via email, phone calls and hard mailings



Experience, Skills, Attributes Required:




  • The successful candidate will have previous PA experience supporting at an executive level including supporting Directors with day to day office duties, event planning and assistance with events

  • You must have the experience and ability to build an excellent working relationship at Director level

  • The ability to plan and think ahead, preparing the Director for meetings ahead of schedule

  • Conscientious and have a flexible approach towards their work

  • They will have the ability to communicate effectively with all levels within and outwith the office, this can vary from senior charity members, external advisory board, donors and sponsors

  • Being highly organised with the ability to multi-task whilst having an exceptional attention to detail is vital

  • The candidate will ultimately shape the role and make it their own, the work is varied so a can-do positive attitude and the ability to use one's own initiative is essential

  • Intermediate Microsoft Office skills are required for this role
