Our client is looking for an experienced PA to join them for on a full-time basis to start in October 2019. They are looking for someone who can provide a comprehensive range of high-quality administrative support within the busy central office; to ensure that all aspects of the day to day activities operate efficiently and effectively and to Support the Executive team members with specific pieces of work.


DUTIES INCLUDE BUT ARE NOT EXCLUSIVE TO:


The main duties of the PA & Business Support Coordinator post are categorised into 4 key areas:




  1. Day to day operations



  • To manage the development of good administrative practice across the organisation including maintaining and developing procedures, records and systems

  • To provide administrative support including creating documents and reports using the full range of Microsoft Office programmes available, filing and photocopying. Dealing with general enquiries received by telephone, email and face to face.

  • To maintain and manage the diaries of the central team

  • Book train tickets and make travel arrangements for colleagues

  • To operate and maintain (electronic and hard copies) an effective system for filing of all documents, ensuring that all legal data record requirements are maintained

  • To meet and greet all visitors to the office with a friendly and professional approach

  • To order and maintain stationery and office supplies

  • To support all central staff in any administration duties needed




  1. Management information



  • To collect and collate management information and survey information as required from time to time




  1. Financial



  • To support the Chief Operating Officer and accountant in the day to day financial management keeping ledgers up to date, co-ordinating and inputting invoices and purchase orders




  1. Other



  • To work within the policies and procedures of our client and apply consistent principles of diversity & equal opportunities throughout the work

  • Attend training as appropriate

  • To undertake any other duties as may reasonably be required



SKILLS, EXPERIENCE AND ATTRIBUTES REQUIRED:



  • 3 years of PA, EA, or Business Support experience

  • The ability to work flexibly, prioritise, multi-task and work well under pressure

  • Excellent interpersonal skills, approachable and friendly manner

  • A confident, self-driven, outgoing, people person

  • Excellent communication and administration skills

  • Good Microsoft Office skills

  • Good time management, problem solving skills
