£21,000 - £22,000 per annum

HOURS: Monday - Friday 9am - 6.00pm

We're teaming up with a well-established company based in Beckenham looking to recruit for an Operations Admin Assistant to join a busy team and undertake/cover ALL other operations functions.

The day to day duties in your new job would be:

  • Coordinate bookings across all jobs

  • Ensure all crewing is updated

  • Manage the coordination of all freelance crew

  • Allocate appropriate resources for each job as required and in discussion with Projects colleagues as necessary

  • Act as the main contact for crewing suppliers - ensure standards maintained and negotiate pricing

  • Investigate crewing issues on site as/when they arise

  • Prepare & write the schedules for transport & crewing

  • Run the on the day schedule. This includes monitoring everything is going to plan, making changes as requested/required and recording them on the schedule

  • Booking of transportation as required for crew (e.g. early morning/late night starts) to get to job/venue

  • Ensure any changes are reflected in the schedule

  • Manage maintenance of all vehicles as appropriate and in line with licence requirements - to include annual servicing & insurance, licensing, plate certification, repairs, accident reporting & claims etc

  • Manage drivers to include - monitoring driver hours in line with legislation reviewing via OPTAC, checking licences every 3-6 months, inductions

  • Ensure compliance with all vehicle & driver legislation

  • Oversee any other transportation tasks as required such as parking fines, supplier account management, fuel accounts, congestion charging etc

  • Will have strong Excel skills and be familiar with other MS packages including Word and Outlook

  • Will be confident, assertive and resilient

  • Will be friendly and approachable

  • Will demonstrate excellent communication skills

  • Will be highly organised with an eye for detail

  • Will be proactive and can work on own initiative

  • Will have a flexible approach to work with a willingness to support team members as required

  • Experience within events or AV industries desirable

  • Will understand operational logistics
