We are currently recruiting for an Executive PA for one of our clients based in Wimbledon, this is a fantastic opportunity!


Job Title: Executive PA


Salary: £14-18 per hour (dependant on experience)


Location: Wimbledon


Core Duties and Responsibilities



  • To prioritise and manage the workload of the Directors, often working within tight timescales, prioritising tasks in line with organisational objectives.

  • To manage complex diaries, prioritising commitments using own initiative and judgement, to ensure time is used effectively and efficiently.

  • To take a proactive approach in supporting the Directors by anticipating their requirements and allowing them to maximise their time.

  • To manage an unpredictable work pattern, reviewing tasks to ensure that they are correctly prioritised, escalating when necessary.

  • To organise meetings on a regular and ad hoc basis ensuring preparation and distribution of agendas and papers, producing high quality minutes and ensuring actions are followed up and closed.

  • Promptly and accurately produce: letters, memos, reports, tables, minutes, and other documents, as required. Copy and distribute correspondence/data as required.

  • Work with computer software as required (PC based word processing, spreadsheets and databases). Create graphics, tables etc. from data supplied as requested.

  • Participate in any project work as required.

  • Responsible for preparation of correspondence and complex papers, as directed by Manager.

  • Budget management for corporate accounts, including stationery, taxis/couriers, mobile devices and facilities.

  • Manage administration of all interim contracts, ensuring correct processes and HR compliance is followed.

  • Monitor process for reviewing and updating local policies.


Key Working Relationships



  • Required to maintain constructive relationships with a broad range of internal and external stakeholders.

  • Participate in relevant internal and external working groups/projects, services, and initiatives which may be highly complex, sensitive, political, and contain contentious information with the aim of providing information and analytical advice to the teams.


Desirable skills:




  • Recent experience of working in an executive PA or administrative capacity




  • Comprehensive knowledge of project management and/or health information systems development



  • Experience of setting up office systems


  • Skills for communicating on complex matters and difficult situations, requiring persuasion and influence




  • Independent and strategic thinker with demonstrated good judgement, problem-solving and analytical skills




  • Ability to work on own initiative and organise own workload without supervision working to tight and often changing timescales
