Executive Assistant/ Office Manager - City, London



OA Executive is excited to be working in partnership with a leading software company based in the heart of London who are looking to recruit a People and Operations Coordinator to join their dynamic team. This is a hybrid role with elements of EA support to the Executive team and office management.



As the People and Operations Coordinator, you will be responsible for providing administrative and operational support to the UK Team, Global Head of People Operations and the wider leadership team.



This is a varied role which will require someone with excellent organisational skills and high levels of professionalism. Your responsibilities will be typical of the following:




  • EA duties to the Executive Leadership Team, specifically the CEO including:

    • Executive diary management

    • Travel bookings, both domestic and international

    • Organising executive strategy away days

    • Taking minutes of important meetings



  • Front office support, client engagement and general office administration

  • Finance support as required, including expenses using Xero software

  • Procurement of office supplies, stationary and maintaining relationships with suppliers

  • Support with company employee and community communication

  • Assisting with internal and external event management

  • Support the Global Head of People and Operations to implement HR policies including, employee onboarding, recruitment and company culture as well as any other ad hoc HR duties required



To be successful in your application we are looking to hear from proven Office Managers who have extensive experience in a similar position and who also have extensive exposure of providing PA support. You will be highly organised, confident in your ability to ensure the office runs smoothly and have excellent negotiation skills.



A sound team player, you will also be pro-active in coming up with new ideas to ensure the office continues to progress. Finally, you will be confident, have excellent communication skills and will have brilliant IT skills, knowledge of G Suite would be preferable as would a background working for a technology organisation, however this is not essential at this stage.
