ROLE: Corporate Receptionist - Law Firm


JOB TYPE: Permanent

HOURS: Monday - Friday, 37.5 hours, shifts between 7:30am - 7:00pm (1 hour for lunch)


SALARY: £25,500

JOB PURPOSE:


As a Client Services Executive you will be the first person a visitor or client meets or speaks to on the telephone/ in person therefore your primary value as the face of the company will be to make that all important first impression by demonstrating a high level of customer care and professionalism. You will support the company in the service coordination and implementation of Audio / Visual support for the Client Meeting Rooms at our offices in Mayfair and Cannon Street. In addition you will provide support for room set ups, moves & changes.


MAIN DUTIES:



  • Meet and greet visitors, occupiers and clients by providing a five star welcome

  • Provide and offer refreshments in the main reception areas to all guests waiting


    • Signing in visitors according to security procedures and processes

    • Manage room bookings as applicable using the Manhattan Datacraft booking system and Vicnitee (Landlord) System, liaising with hosts to obtain presentation details in advance of meetings

    • To support the AV Assistants with room sets up as required / manage the online video conferencing diary

    • To announce visitors as appropriate in line with the process and policies

    • To provide loan items and stationary as requested

    • To manage adhoc deliveries from couriers/ by hands

    • Record and store lost property

    • Booking client taxis/cars

    • Order flowers

    • To carry out administrative tasks and duties as and when required


  • To provide, high quality, reactive and pro-active audio-visual support to the company meeting rooms.

  • Manage workload and book in set ups using the Datacraft Hospitality suite system

  • Ensure that IT equipment is tested and in good working order prior to and on installation into the conference rooms

  • Liaising with specialist IT equipment suppliers to report faults and resolve issues.

  • Setting up conference room equipment as required, to include; Laptops, Screens, projectors, conference phones, video conferences, Lync Pods, Hubs, ADSL lines, Wireless passes and troubleshooting issues

  • Setting up conference room facilities, as required, to include; opening and closing of Partitions, whiteboards, room set ups (Cabaret/Theatre/Boardroom/Classroom styles) partitions




PERSON SPECIFICATION



Knowledge



  • Proven working knowledge of customer service experience.

  • A working knowledge of Microsoft Office.

  • A working knowledge of Manhattan Datacraft desirable

  • Ability to set up and troubleshoot IT and audio-visual equipment.

  • Highly service focussed with a 'can do' attitude.

  • Highly organised. Able to plan and prioritise the work of self and others.

  • The ability to listen, question and interpret information to understand requirements.

Experience and Qualifications




  • A good standard of general education, including Maths and English

  • Ability to support creating and editing digital video in a corporate environment desirable

  • Experience of Customer Service &/or Reception area's

  • Experience in a client facing role involving IT and AV support.
