JOB TYPE: Permanent

HOURS: 9:00am - 17:00pm, Monday - Friday (37.5 hours a week, 30 minutes for lunch)


SALARY: £20,000 plus £3,000 - £6,000 bonus!

PURPOSE OF THE JOB | Branch Coordinator / Administrator


To make a significant contribution to delivering maximum sales opportunities by effective and efficient diary management, optimising attended appointment numbers (including seeking and securing "home-made appointments"), provision of exceptional customer care, maximising sales of accessories & care plans and ensuring a well-presented branch consistent with premium brand.


PRIMARY DUTIES


Diary Management - manage (multiple) dispenser diaries to maximise appointment potential


▪ Make "real" forward booked appointments, in line with policy & training, for existing customers and, exceptionally, if dispenser decides, CNP prospects.


▪ Ensure daily structured business huddle* with team colleagues, with the prime objective of maximising the diary for today, tomorrow and next day - and secondary objective (equally important but less urgent) of reviewing yesterday's activity


▪ Respond to "hot" leads (if not handled by TA) by calling enquirer promptly, ideally within 5 minutes of receiving lead


▪ Maximise appointment attendance by confirming all appointments with clients, approach to be in line with policy and training (inc "how to find us" etc.)


▪ Alerting dispensers prior to appointments where appropriate 3rd party support is available but unlikely to attend


▪ Reschedule and bring forward appropriate appointments tactically to maintain full diary, including intelligent contingency planning (ie a degree of double or brickwork booking where probability of no show is high), all in line with policy


Sales - take the initiative to promote the Wellness programme*, sell accessories and care plans by positively influencing and persuading customers.



  • Acquire belief in the Wellness program to be able to proactively seek referrals and support colleagues in doing likewise - and confidence in promoting and presenting the Wellness program using a script, at least until you can generate them well and comfortably

  • Follow up referrals by promptly calling "names" to secure appointments

  • Effectively use the system to identify inbound callers whose aids are out of warranty and book full test appointments swiftly with the Dispenser (OOW)*

  • Follow up with lost users*

  • Always suggest direct debit on care plans

  • Ensure adequate stock
