We are looking for a part-time Administrator to work 15 hours a week with our client just outside of Edinburgh City Centre. There will be working hours of Wednesday and Thursday from 2pm - 5pm and Friday 9am - 5pm and you will be paid £9.50 per hour.


Duties and Tasks:









Reception cover


� Meeting and greeting clients, visitors and staff




    • Providing a friendly, welcoming and professional environment

    • Preparation and set up of meeting rooms & ensuring all relevant AV equipment is provided and ready to be used

    • Providing tea and coffee for meetings

    • Checking of meeting rooms diary to ensure no duplication



Call handling




    • Answering telephones in a professional and friendly manner

    • Taking full and accurate messages and forwarding to relevant members of staff

    • Transferring calls



General tasks




    • Completing delegated tasks and actions from e-mails received

    • Covering PA role in absence of Office Manager (includes preparing/formatting documents in Word + Excel)

    • Opening and allocating external and internal post

    • Franking of external post

    • Photocopying

    • Laminating

    • Filing

    • Typing of labels

    • Creating files

    • Internet research - booking rail tickets, specialist equipment etc as and when requested

    • Attending team meetings and taking team meeting actions notes

    • Diary management for Regional Manager and Senior Case Managers as and when requested

    • Typing letters

    • Printing of invoices and time slip reports and allocating to the relevant team member



Stock control & ordering




    • Carrying our weekly stock checks

    • Liaising with contractors and websites to source best price and value for money

    • Once approved ordering relevant stock replacement

    • Updating of budget spreadsheet



Storage and archiving




    • Logging and filing of relevant files and documents

    • Retrieving of documents from storage and central archives

    • Preparation of files and documents for central archives

    • E-mail archiving of all CM's and OT 's e-mails over 3 months old



IT support



  • Providing IT and telephone support

  • Dealing with photocopier and printer issues




Skills and Experience Required:



  • Previous administration experience

  • Good organisational skills

  • Ability to work under pressure

  • Proficient in Microsoft packages like Word, Excel, Outlook etc.
