We are looking for a great administrator who is looking for their next challenge! Our client is an international engineering and infrastructure firm, seeking someone upbeat and friendly to join their buzzy and busy team!


You will be a core part of the Technical team! Making sure everything is running smoothly. Your duties will be working closely with the manager, supporting all team members by booking travel and hotels, arranging meetings, sending agendas, taking minutes and more. The team is friendly, chatty and has a real sense of humour!

DUTIES:











  • You will be doing general administration, including preparation of presentations using standard packages.



  • Compose and respond on behalf of manager to routine correspondence.

  • Your job will be to manage diary and e-mail system for manager and communicate any changes to all those affected by the change.

  • You will be arranging meetings, including all associated catering and/or travel and accommodation requirements.

  • Lots pf arranging travel and accommodation for Asset Technical Department.

  • Co-ordinate various management processes through collation of papers, documents and agendas and circulation to owned distribution lists.

  • Organise and maintain appropriate electronic and hard-copy filing systems on behalf of the Manager.

  • Handling confidential matters.

  • Maintain the Asset Technical document management system in line with company standards.

  • Support and facilitate in the tendering process.

  • Provide cover for Reception during lunch and during periods of leave.

  • Ad hoc duties as may be requested by management.

  • Highlight deadlines for reports and documents.

  • Arrange departmental meetings.

  • Maintain records and report on annual leave and absence within the department.

  • Maintain departmental organogram and contact lists.

  • Liaise with other administrators to Managers.

  • Training, Support to Managers.

  • Collating KPI's PSPI's as required, normally on a monthly basis.

  • Collating sections for the monthly report from various sources within time frames set.

  • Assist with document management flow to and from various contractors for various projects.

  • Document formatting to ensure standardised approach for the Asset Technical Department.

  • Assist with monitoring of regulatory actions.

  • Consistently maintain a professional approach in day to day activities.

  • Report on activities and provide relevant management information.

  • Maintain high standards of probity and confidentiality.

  • Ad hoc duties as may be requested by management.




ABOUT YOU:



  • GCSE's in maths and English

  • Admin experience

  • A Microsoft office pro!

  • You are friendly, upbeat and will enjoy working with similar people

  • You enjoy and are brilliant at formatting documents and making presentations look great!

  • You are keen to learn lots of new technical terms!
