HOURS: 9.00am - 17.30pm

Our client is an international eye care charity that prevents and treats avoidable blindness and visual impairment. They screen for and treat eye conditions, raise awareness about eye health, train and mentor local eye care teams in Africa, Asia and Latin America.

The Donations Administrator role is crucial to the entire UK team and a willingness to help others is essential. You will assist the Fundraising & Communications teams with supporter enquiries and database assistance, as well as being the first point of contact and delivering excellent service to the charity's donators.


  • To act as a first point of contact for supporter queries, and to respond within a reasonable time duration

  • To answer incoming telephone calls, take donations, assist supporters and guide calls to the appropriate person

  • To open and process post

  • Responsible for the accurate entry of donor records and gifts to the database.

  • To ensure that all donation batches and monies are matched up and recorded as efficiently and accurately as possible

  • To develop, print and post thank you letters for donations (e.g. in response to appeals) and other responses in a timely fashion

  • Build and maintain relationships with through various methods of online and offline communication

  • Assist with the administration of the database, including merging duplicate constituents together and general assistance to the Database team

  • In charge of the sending and receiving of Gift aid declarations to an external scanning company


  • Adhere to GDPR for the Fundraising & Communications Team

  • To undertake other tasks as delegated by Senior Management

  • Understanding of data protection, fundraising regulation and working within a compliance framework

  • Demonstrable experience of using Microsoft Office applications, especially Excel

  • Good working knowledge of Raisers Edge or CRM databases

  • Excellent written and verbal communication skills

  • Proven analytical skills and ability to write, complete and present analysis

  • Excellent telephone skills

  • Experience of working for an NGO, ideally within fundraising and communications functions

  • Working knowledge and experience of working in a marketing or fundraising environment.
