I am looking for an experienced Administrative Assistant to help support the Campus Security team. The working hours are 30 per week offering a salary between £19,612 - £21,814 (pro rata) depending on experience.


This is a fantastic opportunity within an incredibly established educational body. You will be the first point of contact for all queries, you will be resilient and a strong individual and be relatively IT savvy.


Duties:



  • Keeping all personal files up to date

  • Collating overtime records and producing a quarterly overtime Journal for budgeting of the Security department.

  • Keeping the staff absence spreadsheet up to date.

  • Supporting the hiring of new staff by sending requests for references and sending out relevant documents for new starters.

  • Liaise with Human Resources and Payroll on a regular basis to ensure all records are up to date.

  • Review applications for events on site, including conducting research into external speakers, liaising with colleagues and escalating applications where necessary.

  • Working closely with the Finance department when raising purchase orders

  • Arrange meetings when requested, including ordering food, drink and necessary audio/visual or presentation equipment, taking minutes.

  • Liaising with the car parking team to support them with calculating statements.

  • Arranging hotel, travel and training session bookings for team members

  • Maintain department's stock levels for stationary and handouts for open day & information by evaluating remaining levels and ordering items before the department runs out

  • Drafting and sending letters out relating to new starters, HR administration and other miscellaneous documents

  • Occasional reception cover.


To be successful in this role:



  • You will have excellent oral and written communication skills, including the ability to communicate with and influence a wide range of internal and external stakeholders at all levels

  • You will have strong interpersonal skills, including the ability to build relationships, to respect confidentiality, and to deal with staff and students in a sensitive, professional manner

  • Advanced experience of using Microsoft Office packages including Word, Excel and email; internet applications; and the ability to learn how to use new software quickly

  • The ability to forward plan and work proactively

  • The ability to work in an accurate and detailed manner

  • Experience of budget administration

  • The ability to use initiative and to work quickly and accurately under pressure and to tight deadlines

  • The ability to identify and implement practical solutions to administrative matters
