Job Title: Office Administrator - Purchasing Team

Location: Maidstone

Salary: £12ph - £13ph

Hours: 9am to 5pm, Monday to Friday

Term: Temporary to permanent

Start date: As soon as possible

Our wonderful Client in Maidstone is looking for an Administrator to join their Production team on a temporary to permanent basis. This role is a key role within the Purchasing/Procurement team, providing administrative support ensuring all documents are logged correctly and efficiently onto the company system. The role will varied, excellent attention to detail is a essential and you must be confident using Excel.

Your duties would include:

  • Placing POs as directed by the Purchasing Team

  • Adjusting/amending PO dates and quantities as per information from Suppliers and Purchasing Team

  • Checking order acknowledgements against existing POs for accuracy and alignment

  • Sending shipping documents to Forwarders, Delivery Point Contacts and Finance for arranging transport/clearance and payment

  • Expediting orders and updating information on internal databases

  • Dealing with admin queries from our third party warehouses i.e. providing missing pack lists

  • Electronically filing all shipping documents

  • Assisting Finance with invoice queries

  • Downloading and filing daily reports

  • Assisting with and collating information for team projects

  • Diarising meetings with suppliers for all on site/off site meetings and trade shows

  • Putting together monthly price files and sending out price requests

  • System update and maintenance as directed

  • Other admin activities to support purchasing departments

Skills and experience required:

  • 1+ years administration experience is essential

  • Good, confident telephone manner

  • Competent in the use of Microsoft Office including Excel and quick to pick up new IT systems
