Title: Administrative Assistant - BIGGIN HILL

Salary: Circa £24k

Our client is seeking an experienced Administrative Assistant for its new Service Centre located in Biggin Hill.

The London Service Centre will join an award-winning Network of wholly owned Business Aircraft Service Centres; as well as a line maintenance station in Nice, Linz, Milan and Paris.

In your role you will:

Perform a variety of administrative and clerical functions supporting the operations of the business that include but are not limited to the following:

  • Perform reception duties, including meet and greet, answering the mainline number, operating the switchboard, providing refreshments, and booking guests with security, arranging taxis.

  • Follow the Purchase Requisition process and submit requests on a weekly basis, tracking the progress including raising the final request PR on SAP and ordering the relevant goods (following up with the operations manager and the Buyers to ensure the process is completed correctly)

  • To maintain stock levels for stationery

  • To maintain uniform stock and ensure that all new starters have their full kit within their first month on site

  • Update the internal phone list with new starters and circulate to all staff

  • Open and allocate incoming post, accordingly, including dealing with the incoming invoices and processing them correctly

  • Maintain the safety screen on H1 shop floor with the relevant safety slides

  • Maintain and update the first aid kits in both H1 and H2.

  • Maintain knowledge of corporate activities to assist in policy, procedures, and administrative matters

  • Have responsibilities that include, but are not limited to, handling confidential and time sensitive material, projecting the appropriate professional image of the company

  • Authorize the expenditure of funds within pre-approved levels by the Members of Management, by way of using the corporate P-Card when required

  • Proofread documentation as required

  • Provide clerical and administrative support to Members of Management at least 50% of the time

  • Prepare, expense reports for approval for the General Manager

  • Assist staff with the Travel approval and travel booking process

  • Plan and coordinate logistics for on-site/off-site special events such as business meetings, seminars, and employee training involving multiple areas within assigned department by making necessary arrangements

  • Maintain and update staff training records

  • Prepare department-wide mass communications for review of management prior to distribution

  • Perform other duties as assigned such as working with the Customer Assistant and Office Manager with their workload


As our ideal candidate:

  • You have experience of a secretarial role.

  • You have a thorough knowledge of company policies and procedures applicable to assigned area

  • You have knowledge of operational processes and workflow for assigned area

  • You have knowledge of computerized applications, for example, word processing, spreadsheet, database, and presentation software as required

  • You have knowledge of expense reports, purchase orders, invoices, and related documents to verify accuracy

  • You possess skills necessary to manage time and prioritize tasks

  • You can work in a team environment with all staff

  • You can provide direction to other employees as applicable

  • You know to use discretion with customers and staff

  • You can understand complexity of client relationships and status of accounts for upper management
