Job Title: Deputy Membership Records Manager
Location: Wimbledon
Salary: Up to £38,700pa

You will be responsible for ensuring timely and accurate completion of data entry the processing of membership enquiries and queries from various portals. You will also be required to deputise for the Membership Records Manager during periods of absence. The role also requires you to work alongside the Records Manager with regards allocation of work, management of key pieces of membership work and supervision of workloads for staff.

Key Duties and Responsibilities will include:
* Key entry of data for all software packages within the Membership Department including Integra, Accounting Office, BACS, Crystal Reports and Executive Viewer, in line with instructions and departmental procedures and standards.
* To assist the Membership Records Manager with the Subscription Rate Mappings table in order to ensure the correct Membership Plan is assigned to all weekly and monthly DAS subscribers.
* To assist the Membership Records Manager with recording Membership Status changes in bulk, based on subscriptions being received/not received.
* Processing of membership enquiries and queries with Branch Offices, HQ and individual members.
* Filing and scanning of membership documentation in line with instructions and departmental procedures and standards.
* Responsible for managing all pending, chasing and subsidised member checks for the protection of company revenue
* To sort and check the accuracy of the production of the monthly Direct Debit and Branch reports/label requests on behalf of periods of annual and sick leave.
* Manage correspondence to members regarding rate increases
* Co-ordinate with the System Administrator to disseminate system updates
* First contact to deal with correspondence regarding refund requests and update Membership Records Manager as next level response.
* Responsible for sending files to all businesses including
dealing with return queries.
* Work alongside and assist Records Manager with processing and running files; liaising with business pay groups where we have membership, branches and departments within HQ.
* To Analyse, Configure and Process all Employers DAS files through Payment Loader and to handle any software Exceptions, in a highly time-critical environment.
* Under the direction of the Membership Records Manager provision of secretarial and
administrative duties as required.

Knowledge, Skills and Experience Required:
* Knowledge of the company's Organisational/Regional/Branch Representative structure
* Knowledge of the company's HQ Structure.
* Knowledge of the Departments and the different requirements associated with each.
* Knowledge and understanding of relevant legislation in relation to data management.
* Good knowledge of GDPR requirements and impact non-compliance with GDPR in relation to membership records.
* Good understanding of UK geography.
* The ability to file and retrieve information, electronically and manually.
* The ability to work without detailed supervision as well as the ability to work as part of a team.
* The ability to suggest ways of improving own work areas.
* You are also required to have excellent people management skills and experience of managing staff
