The Role


The Inbound Operations Coordinator assists in the management of PO flow into the EMEA warehouses ensuring accurate paperwork, customs clearance, and delivery to the inventory sites. This individual will also be responsible for updating the system with inbound receipts and damage or Quality Check data.


Responsible



  • Monitoring all inbound PO's with the 3PLs to ensure they arrive at the correct warehouse and on time, with the completed and accurate customs paperwork escalating to the Senior Ops Manager if there are any late running deliveries.

  • Validating inbound PO paperwork matches the system, escalating if there are any variances and ensuring all is resolved on-time for the deliveries.

  • Creating CIPLs for inbound and outbound shipments and customs clearance

  • Monitoring customs clearance and prepping the necessary documents for international clearance.

  • Reviewing stock in-transit and advising outbound team of status and next back in stock dates for low inventory SKUs.

  • Tendering freight costs for inbound and cross-warehouse shipping, ensuring the best costs available.

  • Entering Inbound receipts into the system, ensuring they match physical receiving.

  • Managing Quality samples from new inbounds and recording the QC information to maintain compliance and quality stock controls.

  • Data entry of damages and loss at the warehouse for Management review and approval.

  • Assisting with month-end system reconciliations.

  • Assisting with Kit Building Work Order updates and BOM checks.

  • Holiday and sick Cover for the Outbound coordinator.


Experience



  • Proven experience in an Inbound Logistics and customs role

  • Must have an eye for detail, superb organisational skills and administrative abilities

  • Must have excellent communication skills

  • Must have excellent Excel and Microsoft Office skills

  • Must have a willingness to learn and have a positive team player attitude

  • Previous background in the Beauty and skincare sector preferable

  • Multi languages preferable
